Job Summary

The PMS Engineer is responsible for developing, maintaining, standardizing, and optimizing Planned Maintenance System (PMS) databases across the managed fleet. The role involves maintaining vessel machinery and equipment structures, maintenance job plans, spare parts, running-hour counters, and compliance-related maintenance requirements. The PMS Engineer will work closely with technical teams, vessel personnel, internal stakeholders, and software providers to ensure data accuracy, regulatory readiness, consistent fleet standards, and effective technical reporting.

Key Responsibilities
1. PMS Database Management & Data Quality Assurance
  • Build, update, and maintain vessel equipment hierarchies using SFI coding and company-defined standards.
  • Develop and maintain PMS databases for new vessel takeovers, existing fleet vessels, fleet acquisitions, and system migrations.
  • Review machinery and equipment details, including maker, model, specifications, component relationships, and associated records.
  • Configure and update maintenance job plans, including job descriptions, calendar-based and running-hour intervals, and work instructions.
  • Incorporate maker-recommended jobs, company-standard maintenance jobs, compliance jobs, and spare parts into the PMS database.
  • Validate PMS data against maker manuals, machinery particulars, equipment lists, drawings, and other technical documents.
  • Identify and resolve missing, duplicate, incorrect, or inconsistent components, jobs, spare parts, and counters.
  • Support data migration, reconciliation, and validation between PMS platforms while preserving available historical maintenance records.
  • Maintain standardized naming conventions, data-entry protocols, version control, and records of database changes.
2. Maintenance Optimization & Compliance Monitoring
  • Ensure PMS maintenance jobs are aligned with maker recommendations, company SMS requirements, applicable statutory requirements, and class survey schedules.
  • Verify that safety-critical, compliance-critical, and business-sensitive equipment is correctly classified and mapped in the PMS.
  • Monitor maintenance intervals, running-hour counters, overdue jobs, and other compliance-related parameters.
  • Review PMS data and maintenance records to identify gaps that may affect inspections, audits, vetting, or vessel maintenance.
  • Support corrective and preventive actions arising from PMS reviews, vessel inspections, audits, and vetting observations.
  • Assist with PMS-related requirements under ISM, SIRE, CDI, and TMSA, including relevant maintenance-management and data-governance activities.
3. Reporting, Data Analysis & Inventory Control
  • Prepare reports on PMS database status, data quality, overdue maintenance, compliance gaps, and implementation progress.
  • Use Microsoft Excel formulas, lookup functions, data-cleaning techniques, PivotTables, conditional formatting, and charts to generate reports.
  • Develop and maintain reusable Excel templates and dashboards for recurring PMS reporting requirements.
  • Review spare-parts mapping and identify discrepancies between equipment records, PMS data, and available inventory information.
  • Analyze PMS datasets to identify recurring errors, data inconsistencies, and opportunities to improve maintenance processes.
  • Collaborate with BI and data teams to improve reporting, data integration, automation, and management visibility.
4. Fleet PMS Support & Stakeholder Coordination
  • Provide PMS database support to vessel teams, Technical Superintendents, and shore-based technical departments.
  • Coordinate with vessel personnel to obtain missing machinery particulars, maker manuals, equipment details, and maintenance information.
  • Liaise with PMS software providers and internal IT or technical teams to resolve application issues, data discrepancies, and system enhancement requests.
  • Track issues, action items, implementation timelines, and closure status to ensure timely resolution.
  • Support consistent implementation of PMS standards across new takeovers and the existing fleet.
  • Participate in PMS reviews, technical meetings, familiarization sessions, and continuous improvement initiatives.
5. Audit Readiness & PMS Governance
  • Support internal and external audits and inspections within the scope of PMS data, maintenance jobs, and maintenance records.
  • Review PMS-related observations and assist in implementing corrective and preventive actions.
  • Maintain PMS data standards, audit trails, database documentation, and quality-control procedures.
