Responsibilities

  • Pharmacy operations: Manage the day-to-day functioning of the hospital pharmacy.
  • Staff management: Allocate duties, supervise pharmacists and support staff, and monitor staff performance.
  • Inventory management: Maintain stock levels of medicines, surgical items, and supplies.
  • Quality and safety: Ensure proper storage, handling, dispensing and documentation of medicines.
  • Regulatory compliance: Ensure operations comply with laws and hospital policies.
  • Coordination: Coordinate with doctors, nurses, administration, finance, stores and other departments.
  • Patient service: Ensure medicines are available and supplied to patients accurately and promptly.
  • Cost control: Monitor pharmacy expenses and identify wastage reduction opportunities.
  • Expiry and wastage control: Monitor near-expiry/expired medicines and disposal.
  • Reporting: Prepare reports on consumption, stock, purchases, shortages and performance.
  • Process improvement: Develop and implement SOPs to improve workflow and safety.
  • Emergency preparedness: Ensure availability of essential and emergency medicines.

1. Hospital Operations Responsibilities

  • Regulatory compliance: Ensure pharmacy operations comply with applicable laws, hospital policies, and regulatory requirements.
  • Coordination: Coordinate with doctors, nurses, administration, finance, stores, and other departments.

  • Cost control: Monitor pharmacy expenses and identify opportunities to reduce wastage and unnecessary expenditure.

2. Purchase Manager Responsibilities in Pharmacy
  • Purchase planning: Estimate medicine and medical-supply requirements based on consumption, patient volume, and stock levels.
  • Vendor management: Identify, evaluate, and maintain relationships with approved suppliers.
  • Quotation and price comparison: Obtain quotations and compare prices, quality, payment terms, and delivery schedules.
  • Purchase orders: Prepare and process purchase orders according to hospital procedures.
  • Negotiation: Negotiate prices, discounts, credit terms, delivery schedules, and other commercial conditions.
  • Supplier quality: Ensure suppliers provide medicines and products meeting required quality and regulatory standards.
  • Timely procurement: Prevent stock-outs by ensuring medicines are purchased and delivered on time.
  • Inventory coordination: Coordinate with pharmacy/store personnel to maintain optimum inventory levels.
  • Expiry management: Follow appropriate purchasing and stock-rotation practices to minimize expiry losses.
  • Documentation: Maintain purchase records, invoices, purchase orders, quotations, and vendor documents.
  • Budget control: Monitor procurement expenditure against the approved pharmacy budget.
  • Supplier performance: Monitor vendor delivery time, product quality, shortages, and service levels.
  • Audit support: Maintain proper procurement records for internal and external audits
