Personal Assistant / Executive Assistant to Director

Position: Personal Assistant (PA) / Executive Assistant (EA) to Director

Experience: 1–5 years preferred

Travel: 30-60%

Salary: 25-35K/ Month

Key Responsibilities1. Executive Assistance
  • Manage the Director's day-to-day schedule and priorities.
  • Maintain and manage the Director's calendar.
  • Schedule, reschedule and coordinate business and personal appointments as required.
  • Organize meetings with clients, CEOs, business owners, senior executives, vendors and other stakeholders.
  • Prepare meeting schedules, agendas, documents and briefing material.
  • Maintain a list of important commitments, deadlines and follow-ups.
  • Remind the Director about important meetings, calls, deadlines and pending activities.
  • Ensure that important tasks and commitments are followed through.
Business Calls & Communication
  • Make and receive business calls on behalf of the Director.
  • Communicate confidently with clients, prospects, CEOs, business owners, vendors and senior professionals.
  • Handle initial communication and coordinate appointments.
  • Follow up with clients and business contacts.
  • Draft professional emails, WhatsApp messages, invitations and follow-ups.
  • Screen calls and prioritize important communication.
  • Maintain professional communication and confidentiality at all times.
Meeting & Business Coordination
  • Coordinate internal and external meetings.
  • Communicate with different departments and ensure required information is available before meetings.
  • Prepare presentations, documents, reports and meeting notes when required.
  • Record important action points and follow up with responsible team members.
  • Track pending activities and provide updates to the Director.
  • Coordinate with clients, vendors, partners and internal teams on behalf of the Director.
Travel Management
  • Plan and coordinate domestic and international business travel when required.
  • Book flights, hotels, transportation and other travel arrangements.
  • Prepare complete travel itineraries.
  • Coordinate meetings and appointments during business trips.
  • Manage last-minute changes in travel schedules.
  • Maintain travel-related documents and information.
  • Assist with conferences, exhibitions, seminars and business events.
Social Media Management

The candidate must have practical knowledge of professional social media management.

Responsibilities include:

  • Manage and coordinate the Director's professional social media presence.
  • Handle platforms such as LinkedIn, YouTube, Instagram, Facebook and WhatsApp Business.
  • Draft professional LinkedIn posts and social media content.
  • Schedule and publish posts.
  • Maintain a basic social media content calendar.
  • Coordinate content related to AI, technology, business, leadership and company activities.
  • Monitor basic engagement and performance.
  • Maintain consistency in professional branding and communication.
  • Coordinate with designers, video editors and external agencies whenever required.
Photo & Graphic Editing

The candidate should have practical knowledge of basic graphic design and photo editing.

Knowledge of tools such as Canva, Photoshop or similar applications will be expected.

Responsibilities may include:

  • Creating LinkedIn creatives.
  • Designing basic business posters.
  • Creating YouTube thumbnails.
  • Editing photographs.
  • Resizing creatives for different social media platforms.
  • Adding text, logos and branding elements.
  • Preparing simple promotional creatives and presentations.
Video Editing

The candidate should have basic practical knowledge of video editing.

Responsibilities may include:

  • Editing short videos, Reels and YouTube Shorts.
  • Trimming and joining video clips.
  • Adding captions and basic transitions.
  • Adding logos, text and branding.
  • Preparing videos in different formats for LinkedIn, YouTube, Instagram and Facebook.
  • Creating simple promotional and business videos.
  • Coordinating with professional video editors for advanced projects.

Knowledge of CapCut, VN, Premiere Pro, Filmora or similar tools will be an advantage.

Business Follow-Up
  • Follow up with prospects, clients, vendors and business partners.
  • Maintain follow-up records.
  • Track important business discussions and commitments.
  • Ensure that agreed actions are completed on time.
  • Coordinate with internal teams for status updates.
  • Escalate important or delayed matters to the Director.
Documentation & Administration
  • Maintain important documents and records.
  • Organize emails, files, contacts and correspondence.
  • Prepare basic reports and presentations.
  • Maintain contact databases.
  • Handle confidential business information responsibly.
  • Coordinate with HR, accounts, IT, sales and other departments when required.
  • Manage other executive-level administrative activities.

  • Experience handling social media for a senior executive or company will be an advantage.
