Job summary

BAY6.AI in Hyderabad seeks a detail-oriented Payroll Associate to process US payroll end-to-end for hourly and salaried staff. The role requires 1–3 years of accounting experience and hands-on knowledge of payroll platforms like QuickBooks Online, ADP, Gusto, or Paychex.

The successful candidate will verify timesheets, manage tax withholdings, benefits deductions, and payroll documentation while supporting GAAP-compliant ledger entries and cross-functional finance workflows.

Qualifications

• Education: Bachelor’s degree in Commerce (B.Com), Accounting, Finance, or a related field.
• Experience: 1–3 years of experience in accounting, with demonstrated experience in US Payroll processing.
• US Payroll Knowledge: Hands‑on experience with any tool like QuickBooks Payroll, ADP, Gusto, Paychex, or similar platforms.
• Accounting Software: Proficiency in QuickBooks Online (QBO), MS Excel (VLOOKUP, Pivot Tables, basic formulas), and Google Workspace.
• AI & Tech Savvy: Active interest or working knowledge of AI tools (ChatGPT, Power Query, automated workflows) to increase personal productivity.

Responsibilities

• Process end-to-end bi weekly multi-state US payroll for hourly and salaried employees with high accuracy.
• Verify timesheet data, attendance records, overtime, deductions, bonuses, and commission payouts.
• Assist with payroll tax reconciliations, employee benefits deductions (e.g., 401k, health insurance), and state tax registration tracking, return filing, etc.
• Handle payroll inquiries from US employees and managers promptly and professionally.
• Maintain and audit payroll documentation, including Form W-4, W-9, W-2, and state tax withholding records.
• Maintain accurate general ledger transactions and record daily journal entries in according with US GAAP principles.
• Support Accounts Payable (AP) and Accounts Receivable (AR) workflows, vendor invoice matching, and customer collections.
• Perform weekly bank, credit card, and vendor reconciliations (e.g., QuickBooks, bill.com, POS systems).
• Assist in month-end close schedules, expense allocations, and balance sheet reconciliations.
• Leverage modern AI tools (e.g., ChatGPT, Claude, AI-driven Excel add-ins) to summarize financial data, draft client communications, and automate routine spreadsheet workflows.
• Ensure all accounting records are organized, accurate, and audit-ready.
