Qualifications

  • Graduate or postgraduate degree required.
  • 36 years of relevant experience in payroll, HR operations and statutory compliance.
  • Experience in manufacturing company preferred.

Responsibilities

  • Manage end-to-end monthly payroll inputs, including attendance, leave, overtime, incentives, arrears, deductions, reimbursements and settlements.
  • Validate attendance and payroll data from HRMS, shift records and location teams.
  • Ensure timely salary processing, incentives and statutory deductions with minimal errors; coordinate with payroll vendor/finance.
  • Maintain payroll reports, variance analysis and dashboards; address payroll queries within SLA.
  • Ensure compliance under labour laws (PF, ESIC, PT, LWF, gratuity, bonus and income tax) and maintain calendars.
  • Prepare statutory registers, records and abstracts; track changes in labour laws and implement processes.
  • Maintain accurate employee master data, onboarding and exit documentation from payroll perspective; drive automation through HRMS and dashboards.
  • Prepare MIS on headcount, payroll cost, absenteeism, overtime, attrition and compliance; protect salary confidentiality.
  • Prepare documents for internal, external and statutory audits and address observations.

Role Purpose

The Payroll & Ops Manager will ensure accurate and timely payroll processing, statutory compliance, employee data management and closure of HR operational queries across locations. The role requires strong attention to detail, knowledge of labour laws and the ability to coordinate effectively with employees, vendors and internal stakeholders.

Key Responsibilities
1. Payroll Management
  • Manage end-to-end monthly payroll inputs, including attendance, leave, overtime, incentives, arrears, deductions, reimbursements and full-and-final settlements.
  • Validate attendance and payroll data received from HRMS, shift records and respective location teams.
  • Ensure timely processing of salary, incentives and statutory deductions with zero/minimum errors.
  • Coordinate with payroll vendor/finance team for payroll processing, bank transfer files and salary reconciliation.
  • Address employee payroll-related queries within defined turnaround time.
  • Maintain payroll reports, variance analysis and monthly payroll dashboards.
2. Statutory Compliance
  • Ensure timely and accurate compliance under applicable labour laws, including PF, ESIC, PT, LWF, gratuity, bonus and income-tax related payroll requirements.
  • Coordinate for monthly challans, returns and reconciliations with consultants/vendors.
  • Maintain compliance calendars and ensure no statutory due date is missed.
  • Support preparation and maintenance of statutory registers, records, notices and abstracts for Plant/Warehouse operations.
  • Track changes in labour laws and support implementation of required process changes.
3. HR Operations & Data Management
  • Maintain accurate employee master data, salary structure, joining, transfer, separation and employee-document records in HRMS.
  • Support employee onboarding and exit documentation from payroll and compliance perspective.
  • Drive automation and digitisation of payroll, attendance, overtime, employee query and compliance-tracking processes through HRMS, Excel tools and dashboards to improve accuracy, turnaround time and transparency.
  • Ensure timely updation of employee records, nominations, bank details, PAN, Aadhaar, PF, ESIC and other statutory documents.
  • Prepare MIS on headcount, payroll cost, absenteeism, overtime, attrition and statutory compliance.
  • Maintain confidentiality of employee salary and personal data at all times.
4. Audit Management
  • Prepare and maintain documents required for internal, external, statutory and HR audits.
  • Ensure all payroll and compliance records are organised, updated and readily available for review.
  • Support closure of audit observations and corrective action points within agreed timelines.
  • Maintain a tracker for statutory notices, legal correspondence and compliance action items.
Qualifications & Experience
  • Graduate/Postgraduate
  • 36 years of relevant experience in payroll, HR operations and statutory compliance.
  • Working Experience in a manufacturing based company will be preferred.
