Job description

The 'Operations Associate' is responsible for ensuring seamless day-to-day operations across all Shades of Spring locations by coordinating dispatch, inventory, reporting, vendor management, Shopify operations, and cross-functional activities. The role acts as the operational control tower, ensuring timely execution, accurate reporting, process compliance and continuous operational improvements while delivering an excellent customer experience.

Key Responsibilities

• Coordinate and monitor daily operations across Bangalore, Mumbai and Hyderabad to ensure smooth execution of dispatch, inventory and operational activities.
• Monitor daily dispatch operations across all cities, including rider assignment, dispatch SLA, QC compliance, Shopify updates, order fulfillment, customer experience and timely resolution of operational issues.
• Manage dry inventory, packaging inventory and consumables across warehouses by monitoring stock levels, inventory ageing, stock transfers and timely replenishment to prevent stock-outs.
• Conduct inventory audits, perform goods receipt note (GRN) processes, maintain accurate inventory records, and support inventory reconciliation.
• Raise purchase requests (PRs), coordinate purchase orders (POs), follow up with vendors on production, dispatch, and delivery schedules, and coordinate with the finance team for vendor payments and invoice reconciliation.
• Prepare and maintain daily, weekly, and monthly dashboards, dispatch reports, KPI trackers, and operational MIS with high accuracy.
• Manage Shopify inventory, product master, categories, SKUs, pricing and website product listings, ensuring accurate product information, stock availability, inventory synchronization and timely product launches.
• Monitor first-time customer experience, delivery feedback and operational complaints, identify recurring issues and coordinate corrective actions with relevant teams.
• Coordinate with the marketing team to ensure operational readiness for campaigns, subscriptions, product launches, packaging materials and promotional activities.
• Identify opportunities to optimize packaging costs, evaluate new vendors, explore sustainable packaging solutions, and support cost optimization initiatives.
• Maintain operational SOPs, trackers, dashboards, vendor databases and documentation while identifying opportunities for process improvements, automation and operational efficiency.
• Act as the central operations coordinator by proactively following up with internal teams, tracking operational KPIs and pending action items, escalating risks and ensuring timely closure of operational tasks.
