Duties and Responsibilities

The Operation Executive – Order Management will be responsible for managing order processing activity and providing comprehensive support to ensure sales orders are created and purchase orders are placed. The role involves validation of documents from Operations, Sales and Business teams, creation of sales orders in ERP, conversion to purchase orders, validation of parameters, and placement with suppliers/OEM/vendors. It also requires maintaining records and documents, coordinating with finance and other departments, and supporting compliance‑related activities.

• Validation of Quote (Costing Sheets)
• Converting Quote to Sales Order in NetSuite ERP
• Converting Sales Order into Purchase Order in NetSuite ERP and load PO to vendors
• Send SKU creation request to MDM Team for part number if not in the database
• Follow up on order deliveries and request expected ship date from vendors
• Monitor status of sales and purchase orders
• Review all open sales and purchase orders fortnightly and monthly with business and sales team; vendor reporting (POS, audit query, etc.)
• Maintain a secure and organised repository of all order documents in the ERP and folder as deemed fit
• Ensure returns of all nature (sales invoice, vendor returns, RMA)
• Handle goods receipt and inform respective team with documentation
• Raise invoices and inform respective team with supporting documents
• Maintain turnaround time for all order processes
• Coordinate with finance, IT team for any requirement
• Maintain confidentiality and compliance with company policies and legal regulations
• Prepare periodic operational reports and documentation for audits and management reviews

Qualifications and Experience

• Bachelor’s degree in Commerce, Finance or related field
• 2–3 years of experience in order management, sales operations, order processing or similar role
• Experience managing large volume and supporting extended hours if required
• Strong organisational and multitasking skills with keen attention to detail
• Good understanding of order processing, end‑to‑end workflows and statutory compliance (GST, TDS, etc.)
• Proficient in MS Office applications and experience working with systems
• Excellent communication and interpersonal skills
• Ability to maintain confidentiality and handle sensitive information with discretion
• Strong collaboration skills to work with cross‑functional teams (Finance, IT, Sales, Business)

Preferred

• Strong understanding of order management and operations process end‑to‑end
• Familiarity with NetSuite or Oracle ERP is an added advantage
• Understanding of Order to Cash (OTC) process
• Experience with document management and record‑keeping best practices, including handling sensitive and confidential information
• Knowledge of statutory compliance related to Goods and Service Tax, Import/Export, Incoterms and other government regulations
• Familiarity with cybersecurity products and ability to learn
