Office Operations Coordinator (Evening Shift)

The Role
Based at our Mumbai office, the Office Operations Coordinator (Evening Shift: 5 PM - 2 AM) is an essential member of the Workplace Support team. We are looking for someone who can assist with the running of a fast-paced office, follow and maintain processes and procedures, and contribute to keeping the office running smoothly.
Responsibilities
- Ensuring the office environment is kept clean and tidy, and free from hazards in areas such as communal dining, open workspace areas, conference rooms, and restrooms
- Communications with external suppliers, partners, and internal teams
- Working closely with the Workplace Support team to maintain high standards across the office
- Answering the main reception phone and directing calls
- Meeting and greeting guests
- Being the first point of contact for the building porter
- Receiving and distributing post and deliveries, coordinating outgoing mail
- Maintaining stock levels of food and stationery, ordering, receiving deliveries, and allocating stock to kitchen/store areas
- Setting up office social events
- Liaising with maintenance and other vendors for scheduled works in the office
- Assisting with the organization of staff social events
Qualifications
- Experience with office coordination, health and safety, and facilities is advantageous
- Highly organized with a keen eye for detail
- Ability to establish strong relationships with suppliers and colleagues
- Ability to learn quickly and jump in where needed
- Proven ability to work in an extremely fast-paced environment
- Excellent written and verbal communication
- Ability to make quick decisions and manage complex, competing priorities
- Ability to stay calm in the face of fast change or urgent demands
- Ability to interact with senior executives and all levels of the organization
- Understanding of confidentiality issues and discretion
- Smart, professional appearance and can-do attitude
