Job summary

Vijaya Advisors Llp in Mumbai invites an experienced ERP & Data Manager to own Odoo data governance, migration, and ongoing data quality across the group. You will coordinate data prep, configuration, testing, cutover and user readiness with internal teams and external consultants.

After go-live, you will be the internal owner for Odoo data, processes and improvements, while supporting related accounting, banking, tax and compliance workflows across foreign entities.

Qualifications

Responsibilities

Job description

ERP & Data Manager

The ERP & Data Manager owns the accuracy, governance and day-to-day effectiveness of the companys ERP data, with Odoo as the primary system. The initial priority is to lead the migration from the current Odoo database to the new Odoo databse by coordinating data preparation, configuration, testing, cutover and user readiness with internal teams and external consultants. After go-live, the role will serve as the internal owner for Odoo data quality, processes, user support and system improvements, while also managing routine administrative and accounting operations for the Groups foreign entities across Odoo and related banking, payment, tax and compliance platforms.

Key Responsibilities

Odoo Migration & Implementation

• Lead the migration plan, including scope, owners, timelines, dependencies and deliverables.
• Define the master data, transactional records, historical information and opening balances to be transferred.
• Coordinate source-data collection with Accounts, Inventory, Production, Sales, Merchandising, Administration and other relevant teams.
• Clean, map, deduplicate and validate data, maintaining clear mapping and decision logs.
• Translate business requirements and operational workflows into clear functional specifications for the Odoo consultants.
• Coordinate system configuration, integrations, permissions, reports and implementation tasks with consultants and internal owners.
• Maintain migration trackers for milestones, risks, issues and decisions, and provide timely progress updates and escalations.
• Plan and execute data reconciliations, test scripts and user-acceptance testing before release.
• Investigate missing, duplicated or inaccurate records and ensure corrections are approved by the appropriate data owner.
• Coordinate cutover, user readiness, training and go-live support across departments.
• Confirm post-go-live stabilization and complete the handover of documentation, open issues and ongoing ownership.

ERP & Data Management

• Serve as the internal owner and primary point of contact for Odoo, triaging requests and coordinating resolution.
• Maintain controlled master data for products, SKUs, vendors, customers, pricing and other core records.
• Ensure operational transactions are recorded accurately, promptly and with appropriate supporting documentation.
• Monitor purchasing, sales, inventory, manufacturing and accounting data, and reconcile cross-module discrepancies.
• Perform scheduled data-quality reviews and exception reporting to identify incomplete, inconsistent or incorrect information.
• Work with responsible departments to correct discrepancies and address their root causes.
• Maintain standard operating procedures, data definitions and clear data-entry standards.
• Ensure required source documents, approvals and audit trails are complete and retained.
• Administer or coordinate user roles, permissions and access reviews in line with approved responsibilities.
• Provide routine user guidance and training, escalating technical or configuration issues to the Odoo consultants.
• Maintain a prioritized backlog for reports, workflows, automations and system improvements, including required approvals.
• Test and document system changes, control releases and complete post-implementation checks.

Foreign Entity Administration & Accounts

• Coordinate routine administrative and accounting obligations for the Groups foreign entities using a clear recurring calendar.
• Maintain complete corporate, operational and financial records for each entity, including registrations, contracts and key correspondence.
• Record invoices, bills, expenses and payments accurately and retain the related approvals and supporting documents.
• Reconcile bank, payment-platform and ERP balances, investigating and resolving exceptions promptly.
• Provide requested documentation to accountants, tax professionals, banks, payment providers and other external advisers, and track outstanding responses.
• Monitor statutory, tax, banking and other recurring deadlines, escalating upcoming or missed requirements promptly.
• Maintain secure, audit-ready digital filing by entity and reporting period, with appropriate access controls.
• Support intercompany charges, balances, documentation and approvals, coordinating with management and external professionals as required.

Skills & Experience

• Hands-on experience with ERP administration and data management; Odoo experience is strongly preferred.
• Practical experience with data migration, cleansing, mapping, reconciliation and user-acceptance testing.
• Working knowledge of purchasing, sales, inventory, manufacturing and basic accounting processes.
• Strong spreadsheet and data-analysis skills, with the ability to investigate exceptions and maintain accurate records.
• Excellent organization, attention to detail and project-coordination skills, with disciplined follow-through.
• Clear communication, sound judgment and the ability to work across departments and with external advisers while handling confidential information appropriately.
