Role Snapshot:
  • Location: Mumbai (Andheri East), India; on-site or hybrid.
  • Shift: US overlap, roughly 6 PM–3 AM IST, with flexibility for US payroll and onboarding peaks.
  • Experience: 4–7 years in Global HR Operations, with at least 2 years supporting US employees.
  • Works With: US employees and managers, third-party payroll/PEO vendor, US benefits and 401(k) providers, India HR and Finance.
About the role:

This person is the single operational point of contact for our US employees, run from India. They own the US employee lifecycle end to end — onboarding, benefits and 401(k) changes, offboarding — and keep the third‑party payroll vendor and our employees in sync.

The role executes and coordinates; it does not set US policy or give legal or tax advice. Compliance judgment sits with the payroll vendor and US counsel, and this person knows when to accelerate to them.

This role will closely work with the CxOs and other POCs from the New York Office on day to day basis.

Key responsibilities:
US onboarding
  • Run new-hire onboarding for US employees: offer-to-day-one checklist, document collection, and system setup with the payroll vendor.
  • Coordinate Form I-9 completion and E-Verify (where used) within federal timelines, plus W-4 and state tax forms.
  • Enrol new hires in benefits and 401(k) within plan eligibility windows; run a first-week orientation on pay, benefits and policies.
401(k) and benefits administration
  • Process 401(k) enrolments, contribution changes, and employer-match updates with the plan provider and payroll vendor.
  • Reconcile payroll deductions against 401(k) remittances each pay cycle and flag mismatches before they become late deposits.
  • Support open enrolment, qualifying life events, and annual plan communications.
Offboarding
  • Run exits end to end: final pay on time per state rules, PTO payout, asset and access recovery, and exit interviews.
  • Coordinate COBRA notices, 401(k) separation options, and benefit terminations with the vendor.
HR policy
  • Maintain the US employee handbook and policies, keeping them aligned with federal and applicable state requirements.
  • Track US law and benefit changes flagged by the vendor or counsel, and drive the resulting policy updates.
  • Field policy questions and apply policy consistently.
  • Act as the primary contact for the third‑party payroll/PEO vendor: submit inputs (new hires, changes, exits, bonuses) ahead of each cutoff.
  • Review payroll registers before approval and resolve errors with the vendor.
  • Track vendor SLAs and elevate recurring issues.
Employee queries and coordination
  • Resolve US employee queries on pay, tax forms, benefits, 401(k) and leave, with a ticket or log for every query.
  • Translate vendor responses into clear answers for employees, and employee issues into clear asks for the vendor.
  • Keep employee records and HRIS data accurate and audit-ready.
Must-have qualifications:
  • Graduate; MBA/PGDM in HR preferred.
  • 4–7 years in HR operations, including at least 2 years directly supporting US employees (in‑house, GCC, or a US‑payroll/PEO outsourcing firm).
  • Hands‑on knowledge of US onboarding and exit mechanics: I-9, W-4, state new‑hire reporting, final‑pay rules, COBRA.
  • Working knowledge of 401(k) administration: enrolment, deferral changes, employer match, and payroll‑to‑provider reconciliation.
  • Experience managing a payroll or PEO vendor (e.g. ADP, Gusto, Rippling, Justworks, TriNet, Paychex) and reviewing payroll registers.
  • Strong written English for employee‑facing communication; comfortable on calls with US staff.
  • Willing to work a sustained US‑overlap shift.
  • High discretion with confidential pay and personal data.
Good-to-have:
  • SHRM-CP or HRCI (PHR/aPHR) certification.
  • Exposure to multi‑state US employment (e.g. California, New York) and state‑specific leave rules.
  • Experience with an HRIS such as Workday, BambooHR or Darwinbox, plus a ticketing tool for query tracking.
  • Has written or updated an employee handbook.
  • Advanced Excel for payroll and 401(k) reconciliations.
Success in the First 6 Months:
  • Payroll Timeliness: Submit 100% of payroll inputs before the vendor cutoff for every pay cycle.
  • 401(k) Reconciliation: Reconcile deductions against remittances during every pay cycle, with all mismatches resolved within the same cycle.
  • I-9 Compliance: Complete I-9 documentation for 100% of new hires within the federally mandated deadlines.
  • Final Pay Compliance: Ensure 100% of employee exits receive final pay in accordance with applicable state laws.
  • Employee Query Management: Acknowledge employee queries within 1 business day and resolve them within 5 business days.
  • US Employee Handbook: Review and update the US employee handbook by the end of Month 6.
