As the Fine Arts Move Coordinator, you will be responsible for managing the logistics and coordination of all aspects related to the relocation of fine arts assets within our organization. This role requires meticulous attention to detail, strong organizational skills, and a deep appreciation for art preservation and handling. You will work closely with internal stakeholders, external vendors, and fine arts professionals to ensure the safe and efficient relocation of artworks, sculptures, and other creative materials.

Responsibilities and Duties
Key Responsibilities
  • Planning and Scheduling: Develop comprehensive plans and schedules for the relocation of fine arts assets, considering logistical requirements, timelines, and project constraints. Coordinate with stakeholders to establish priorities and minimize disruptions to ongoing operations.
  • Vendor Management: Identify, evaluate, and select vendors and service providers for fine arts relocation services, including packing, transportation, and installation. Negotiate contracts, review proposals, and ensure compliance with quality standards and budgetary constraints.
  • Asset Inventory and Assessment: Conduct thorough assessments of fine arts assets, including artworks, sculptures, and artifacts, to determine their condition, fragility, and transportation requirements. Develop inventory lists and documentation to track the location and status of assets throughout the relocation process.
  • Packing and Handling: Coordinate the proper packing, handling, and crating of fine arts assets to ensure their safety and preservation during transit. Implement best practices for handling delicate and valuable items, including protective measures for paintings, sculptures, and other artworks.
  • Transportation and Logistics: Arrange for the transportation of fine arts assets to their new locations, coordinating with transportation companies, freight carriers, and specialized movers. Ensure that appropriate vehicles, equipment, and packaging materials are used to safeguard assets during transit.
  • Installation and Setup: Oversee the setup and installation of fine arts assets in their new locations, working closely with installation crews, facilities staff, and curators to ensure proper placement and display. Coordinate the hanging of paintings, the placement of sculptures, and the arrangement of artworks in galleries and exhibition spaces.
  • Documentation and Recordkeeping: Maintain accurate records and documentation of all aspects of the relocation process, including inventory lists, packing materials, transportation manifests, and installation plans. Ensure that all documentation is organized, accessible, and up-to-date for future reference and auditing purposes.
  • Risk Management and Contingency Planning: Identify potential risks and challenges associated with fine arts relocation activities, such as weather-related delays, transportation accidents, or handling errors. Develop contingency plans and risk mitigation strategies to minimize disruptions and ensure the safe and successful completion of relocation projects.
  • Communication and Collaboration: Communicate effectively with internal stakeholders, including curators, facilities managers, and administrative staff, to coordinate fine arts relocation activities and address any concerns or inquiries. Collaborate with external partners, such as insurance providers and conservation experts, to ensure compliance with industry standards and regulations.
  • Quality Assurance and Customer Service: Maintain high standards of quality and customer service throughout the fine arts relocation process, striving to exceed the expectations of internal and external clients. Seek feedback from stakeholders and implement continuous improvement initiatives to enhance the efficiency and effectiveness of relocation services.
Qualifications
  • Bachelor's degree in Art History, Museum Studies, Arts Administration, or related field preferred.

  • Flexibility to work evenings, weekends, and overtime as required for fine arts relocation projects and events.
  • Willingness to travel locally and nationally for site visits, vendor meetings, and project supervision.
