Job summary

Phantom FX in Mumbai is seeking a Junior Production Coordinator to support the VFX production team, tracking workflows, organizing dailies, and maintaining daily notes and production databases. The role works with Producers, Leads and Supervisors to ensure deadlines are met and client deliveries are coordinated.

The ideal candidate has experience as a Production Assistant or junior coordinator, strong MS Office skills, and basic familiarity with Avid/editorial tools.

Qualifications

Responsibilities

• Track and manage workflow across departments to meet deadlines.
• Organize dailies, rounds, meetings; take notes and log in production software.
• Maintain daily notes and keep production database up to date.
• Communicate information quickly to crew and other departments.
• Coordinate client sessions and dailies/meeting changes with supervision.
• Ensure smooth communication from supervisor to leads and crew.
• Anticipate issues and raise them to Producer and Supervisor for quick resolution.
• Take comprehensive notes and review progress with Leads after dailies.
• Oversee client deliveries of temps and finals; support editorial.
• Monitor resources and coordinate with support departments.
• Maintain a proactive, positive production office environment.

Job description

The VFX Production Coordinator is central to visual effects project management. The liaise with all aspects of production and post-production: Director, Editor, external VFX Supervisor and Producers, internal Producers and Supervisors as well as artists.

Working closely with and on behalf of the internal VFX Producer they help strategize and implement tasks and targets crucial to the delivery of the project on time and on budget.

Responsibilities

• Work with Producer, Leads and Supervisors to track and manage the workflow through the departments meeting internal and external deadlines
• Organize dailies, rounds and meetings, taking notes of supervisors and logging into the production software and following up on information as necessary
• Ensure production database is kept updated daily with notes and critical information before departing for the day
• Communicating information quickly and succinctly to crew and other departments in person as well as via e-mail
• Communicating (directly or through the Production Assistant) client sessions and dailies/meeting changes
• Keep communication flowing from Supervisor to Leads and crew to all other departments
• Anticipate and communicate issues to Producer and Supervisor to resolve problems quickly
• Take detailed, comprehensive notes and review with Lead after dailies/rounds
• Maintain an accurate summary of progress from the previous day's work by artists
• Oversee the execution of client deliveries of all temps and finals
• Manage edits along with the editorial department
• Manage resources and communicate coherently with other support departments
• Help to maintain a positive, upbeat and professional production office, being pro-active and solution-orientated
• Other ad hoc duties as may reasonably be expected

Desirable Skills

• Previous experience at Junior Production Coordinator or Production Assistant level
• Good knowledge of MS Office packages (including Word, Excel and Project)
• Basic Avid/editorial knowledge
• Lateral thinking skills
