Job summary

Ugaoo is seeking a detail-oriented Manager – Payroll & Compliances to lead end-to-end payroll operations and statutory compliance for a large workforce in India. You will partner with Finance and HR Operations, ensure accuracy and timeliness, and strengthen payroll governance through robust reporting.

The ideal candidate has strong knowledge of Indian payroll, taxation, labor laws, and HRMS systems, with the ability to build scalable, compliant processes in a dynamic startup environment.

Qualifications

About The Role

We are looking for a detail-oriented and process-driven Manager – Payroll & Compliances to lead end-to-end payroll operations and statutory compliance while ensuring accuracy, timeliness, and adherence to all applicable regulations. This role will be responsible for managing payroll for a large and diverse workforce, driving compliance across multiple statutory requirements, partnering with Finance and HR Operations, and strengthening payroll governance through reporting and process excellence. The ideal candidate brings strong knowledge of Indian payroll, taxation, labor laws, and HRMS systems, along with the ability to build scalable and compliant processes.

Key Responsibilities

Payroll Management

• Oversee end-to-end payroll processing through HRMS (preferably Keka) with accuracy and timeliness.
• Manage payroll for a workforce of 1,000+ employees across blue-collar and white-collar categories.
• Manage salary structure updates, variable pay, reimbursements, and full & final settlements.
• Prepare salary structures with sound knowledge of taxation and income tax, ensuring compliance while optimizing tax efficiency for employees wherever applicable.
• Coordinate with the Finance and HR Operations teams to ensure accurate employee lifecycle data including onboarding, confirmations, attendance, leave records, exits, documentation, payroll inputs, policy adherence, and full & final settlements.
• Maintain accurate employee records in HRMS and support the preparation of HR letters, contracts, payroll reports, and related documentation.
• Coordinate with the Finance team for payroll inputs, deductions, reconciliations, and audit support.
• Ensure confidentiality and compliance across all payroll transactions.

Compliance & Statutory Requirements

• Ensure timely filing and 100% compliance with PF, ESIC, PT, LWF, TDS, Trade License, and Shops & Establishments Act requirements.
• Maintain statutory registers, employee records, licenses, and compliance trackers.
• Stay updated on changes in labor laws and statutory regulations, and advise management accordingly.
• Liaise with consultants, auditors, and government authorities for audits, statutory filings, trade license renewals, and regulatory submissions.
• Manage government liaising and licensing with Labour Department and other regulatory authorities, securing and renewing Shop & Establishment registrations, Trade Licenses, and Fire NOCs with zero compliance gaps.

Reporting & Analytics

• Design MIS reports and payroll analytics dashboards for leadership, delivering actionable insights for headcount planning, cost optimization, and compensation decisions.
• Partner with internal auditors, external consultants, and labour authorities to successfully close inspections and audits with zero critical observations, positioning the organization as a compliance benchmark.

• In-depth knowledge of Indian payroll practices, income tax, labor laws, and statutory frameworks.
• Proficiency in HRMS tools (preferably Keka) and advanced Excel skills.
• Strong understanding of salary structuring, payroll reconciliations, statutory filings, and compliance documentation.
