Job summary

Medhavi Skills University in India seeks a Training Delivery Manager (Coordinator) to own the Work-Integrated Programs delivery across locations, manage trainer mapping and KPI-driven governance, and ensure consistent instruction and assessment.

You will oversee attendance, engagement, OJT supervision, escalation processes, and documentation, coordinating with program managers, trainers and industry mentors to maintain high-quality delivery and compliance.

Qualifications

  • Graduate or postgraduate in Engineering or Management with relevant training-delivery experience.
  • Experience in managing multi-location delivery teams and LMS-based blended programmes.
  • Familiarity with NCVET/NSQF, UGC AEDP guidelines, or NATS/BOPT processes is a plus.

  • Own day-to-day operations of the WIP across all industry locations and maintain the master trainer-mapping register.
  • Coordinate site-readiness for new industry locations and ensure weekly live/physical class delivery across locations.
  • Oversee LMS-self paced learning, weekly live class, and on-the-job training with content parity and quality.
  • Maintain trainer mappings with primary and backup, ensure timely updates and escalation when needed.
  • Oversee attendance, engagement, and assessment processes and reconcile OJT with mentors and location coordinators.

Role Overview:

The Training Delivery Manager (Coordinator) is the operational owner of the institution’s Work-Integrated Programs — responsible for running the entire delivery, monitoring and governance mechanism across every industry location and mapped trainer. The role holds end-to-end accountability for the three-stream delivery model (LMS self-paced learning, weekly live/physical class, and on-the-job training), the trainer-mapping system, KPI-driven monitoring, escalation handling, and monthly governance reporting — ensuring that a student at any location receives the same quality of instruction, mentoring and assessment rigour as a student at any other location, with no single point of failure in delivery.

Key Responsibilities:
1. Programme Operations and Delivery Ownership
  • Own day-to-day operations of the WIP across all industry locations, maintaining the master trainer-mapping register and the term-long academic calendar (weekly live-class day/time/mode per location).
  • Coordinate with respective trainer/program manager or self for site-readiness for each new industry location prior to cohort start.
  • Oversee the mandatory weekly live/physical class delivery across all locations, ensuring every session is recorded or minuted and uploaded to the LMS as per timelines.
  • Monitor the three-stream delivery rhythm — LMS self-paced learning, weekly live class, and OJT — to ensure content parity and consistent delivery quality across every mapped trainer and location.
2. Trainer Mapping Mechanism
  • Trainer mapping: mapping criteria (subject-matter qualification, proximity to the location, video - conference capability, prior industry-facing experience, availability commitment for every location.
  • Ensure every location/cluster carries both a Primary and a Backup Mapped Trainer, credentialed to the same standard, with the Backup briefed at least 48 hours ahead of any planned Primary-Trainer absence.
  • Maintain and keep current the Trainer Mapping Register (credentials, assigned location(s), backup assignment, weekly live-class slot, mapping validity period), logging every mapping change with reason and approval.
  • Review trainer-to-student ratio and location-load each term with the Trainer Mapping
  • Committee to prevent delivery-quality-compromising overload.
3. Attendance, Engagement and Assessment Oversight
  • Ensure attendance capture at every weekly live class, cross-verified against the Location
  • Coordinator’s manual register, and oversee consolidation of the weekly per-student Engagement Score.
  • Ensure automatic flagging and early-intervention follow-up for students falling below the defined engagement/attendance threshold.
  • Oversee OJT log-book supervision by Industry Mentors and the Location Coordinator’s fortnightly reconciliation against the programme’s OJT learning-outcome map.
  • Ensure the triangulated assessment model (LMS quizzes/assignments, in-person live-class assessment, and Industry Mentor workplace evaluation) is applied consistently, with weightages published to students and trainers in advance.
4. Quality Monitoring, Escalation and Governance
  • Coordinate with the internal Quality & Monitoring Cell on scheduled (minimum once/term/location) and surprise/“mystery” site visits and virtual observations, and review findings within 3 working days of each visit.
  • Own the three-tier escalation path (Location Coordinator → Programme Coordinator → PGC), acting as the primary escalation point for any delivery disruption or grievance within 24 hours.
  • Own and activate the “Full-Proof” redundancy protocols for every identified failure point — trainer unavailability, video-conference disruption, industry-site closure, and attendance/data disputes — ensuring the correct owner responds within the defined timeframe.
  • Prepare the consolidated monthly dashboard (attendance, engagement, assessment completion, trainer punctuality, open grievances/incidents) and circulating minutes and corrective-action trackers.
5. Documentation, Compliance and Continuous Improvement
  • Maintain and periodically audit the full documentation set: attendance registers (physical + LMS), log-books, assessment records, NATS/BOPT registration records (for AEDP-type WIPs), and credit-computation sheets.
  • Consolidate student feedback, Industry Mentor feedback and Quality Cell findings into the Term
  • Review Report, and use it to revise trainer mapping, content, or the weekly-class schedule for the next term.
  • Track and maintain the indicative onboarding/mapping/monitoring timelines, ensuring each new cohort/location is onboarding-ready 4–6 weeks ahead of start.
  • Establish, document and continuously refine a transparent, standardised “plug-and-play” delivery framework so new industry locations/cohorts can be onboarded with minimal re-design.
6. Team and Partner Mentoring
  • Organise, develop and build capacity within the delivery team (Location Coordinators, Mapped Trainer’s; operational onboarding, Communication/Project Coordinator support).
  • Provide hands‑on mentoring and guidance to industry-partner and student success functions, ensuring consistent delivery quality and partner satisfaction across all locations.
  • Operate with defined day‑to‑day operational autonomy while escalating systemic/strategic issues to the designated functional lead, per the institution’s guidance-and-monitoring structure.
Qualifications & Skills Required:
  • Graduate/Postgraduate in Engineering (Mechanical/Production or Electrical), Management, a background in training/programme operations or vocational-education administration is preferred.
  • 4–7 years of experience in training delivery, programme operations, apprenticeship/internship management, or industry-partnership coordination, with demonstrated experience managing multi-location, multi-stakeholder delivery teams and LMS-based blended-learning programmes.
  • Prior exposure to NCVET/NSQF, UGC AEDP guidelines, or NATS/BOPT processes is a strong advantage, given the SOP’s regulatory alignment.
  • Programme/operations management and process-design skills — able to build, document and run a repeatable, audit-ready delivery framework
  • Governance and monitoring system fluency — dashboards, KPI tracking, escalation-protocol management, redundancy/contingency planning
  • Working knowledge of LMS platforms, geo-tagged attendance systems and engagement analytics
  • People management and capacity‑building skills for a distributed, multi‑location delivery team
  • Strong stakeholder management — industry partners, Mapped Trainers, Industry Mentors and students simultaneously
  • Comfort operating with defined day‑to‑day autonomy while reporting into a functional lead’s strategic guidance
  • Sound documentation and compliance discipline — attendance, log‑book, assessment and credit‑record audit readiness.
