Job summary

Vertiv Energy in Maharashtra is seeking an Export Logistics Coordinator to manage end‑to‑end export shipments and regulatory compliance. You will coordinate with production, planning, sales, warehouse, and CHA/freight forwarders to ensure on‑time deliveries and accurate export documentation.

Applicants should have strong Excel skills and the ability to develop MIS dashboards (Power BI) to monitor performance and costs. The role requiresClose liaison with customs authorities and vendors.

Qualifications

• Excel proficiency is required.
• Ability to coordinate across multiple departments (Production, Planning, Sales, Warehouse, Finance).
• Knowledge of export documentation and regulatory requirements is beneficial.

Responsibilities

• Coordinate with production, planning, sales, warehouse, finance and CHA/freight forwarder for export shipments.
• Prepare and monitor export shipment plan based on customer requirements, RD and shipping schedule.
• Coordinate vehicle/container placement and factory/port stuffing.
• Track material readiness against the confirmed RD.
• Follow up with Production for delays and changes.
• Coordinate with Freight Forwarders for pickup, booking and vessel connections.
• Monitor shipment movement from plant to port and port to destination.
• Coordinate with Inspection agency for scheduling and certification.
• DG declaration and export incentive documentation.
• Shipping bill checklist approval for filing.
• Monitor ETD/ETA and transshipment details.
• Escalate delays and port congestion.
• Monitor detention, demurrage and logistics costs.
• Develop and maintain Export Logistics MIS and Power BI dashboards.
• Support compliance with Customs, DGFT, FEMA and export regulations.

Key Responsibilities-Export Logistics Coordination

• Coordinate with Production, Planning, Sales, Warehouse, Finance and CHA/Freight Forwarder for export shipments.
• Prepare and monitor the export shipment plan based on customer requirements, Ready Date (RD), commercial terms and shipping schedule.
• Coordinate vehicle/container placement and factory/port stuffing.
• Track material readiness against the confirmed RD.
• Follow up with Production for delays, partial readiness and last-minute changes.
• Coordinate with Freight Forwarders for pickup, booking, container availability and vessel connections.
• Monitor shipment movement from plant to port and port to destination.
• Coordinate with Third part Inspection agency for Inspection scheduling and certification.
• DG declaration
• Documentation and monitor Export Incentive.
• Shipping bill checklist approval for filing.
• Track vessel schedules, ETD/ETA and transshipment details.
• Escalate shipment delays, port congestion, container shortages and other operational issues.
• Monitor detention, demurrage, waiting charges and other logistics costs.
• The candidate should be responsible for developing and maintaining Export Logistics MIS and Power BI dashboards
• Support compliance with Customs, DGFT, FEMA, Foreign Trade Policy and applicable export regulations.
• Ensure correct HS classification and export documentation.
• Support preparation of documents for FTA/Preferential Certificate of Origin coordination.
• Maintain supporting documents for origin qualification and costing.
• Monitor export incentive documentation and coordinate with relevant teams.
• Support EDPMS closure/regularization and bank documentation.
• Maintain proper records for audit and statutory requirements.
• Ensure timely submission of required documents to internal and external stakeholders.
• Strong knowledge of Microsoft Excel is required.
