Job summary

Vanguard Kemagro in Kolkata, West Bengal seeks a Manager Operations & Logistics to oversee end-to-end export and domestic logistics. You will coordinate orders, prepare pre- and post-shipment documentation, and liaise with factories, CHAs, banks and customers to ensure timely shipments.

The role requires 5-10 years in export-import operations, logistics and documentation, with strong coordination across stakeholders and regulatory compliance.

Qualifications

Responsibilities

• Coordinate with Sales for shipment planning and execution.
• Prepare and supervise pre- and post-shipment documentation within timelines.
• Coordinate with factories, suppliers, and dispatch for timely shipments.
• Work with CHAs, freight forwarders, and shipping lines for movement and vessel plans.
• Obtain customer approvals for shipping documents and BLs.
• Review LC drafts and align shipment documents with LC terms.
• Manage domestic logistics end-to-end with transporters and warehouses.
• Ensure GST compliance and monitor refunds and government schemes.
• Verify freight forwarder/CHA bills; coordinate vendor payments.
• Maintain logistics MIS and records; circulate reports.
• Identify cost-reduction opportunities in logistics and management of vendor relations.
• Support process improvements and ISO/compliance initiatives.

Export-Import Operations, Logistics & Documentation

Role Summary

Responsible for end-to-end coordination and execution of export and domestic logistics operations, including order coordination, pre- and post-shipment documentation, factory and CHA coordination, shipment planning, LC documentation, statutory compliance, vendor bill verification, logistics cost control, and operational reporting.

Key Responsibilities

1. Order & Sales Coordination: Coordinate with the Sales Team for shipment planning and execution requirements, while developing a basic understanding of the company's products to ensure smooth operational coordination.
2. Export Documentation - Pre & Post Shipment: Prepare and supervise all pre-shipment and post- shipment documentation and ensure documents are accurate, complete and available within stipulated timelines.
3. Factory, Supplier & Dispatch Coordination: Coordinate with factories and suppliers for material readiness, production status, packing and timely dispatch as per shipment schedules.
4. CHA / Forwarder & Shipment Coordination: Coordinate with CHAs, freight forwarders, transporters and shipping lines for material movement, container arrangement, stuffing, customs documentation, shipment execution and confirmation of vessel sailing.
5. Customer & Shipping Document Approval: Coordinate through the Sales Team for customer approval/vetting of shipping documents and Bills of Lading (BLs), and ensure approved documents are issued within timelines.
6. LC & Banking Documentation: Review LC drafts and provide necessary operational/documentation inputs to the Sales Team. Prepare shipment documents strictly as per LC terms and arrange final documents for submission to the Bank or Customer, as applicable.
7. Domestic Logistics Management: Manage domestic logistics operations end-to-end, including coordination with transporters, warehouses, Sales and Accounts for timely movement and delivery of materials.
8. Statutory & Government Compliance: Ensure GST compliance in invoices and monitor applicable GST refunds, drawback and other government benefits/schemes. Regularly track relevant Government portals such as DGFT and ICEGATE for operational and regulatory updates.
9. Vendor Bills & Payment Coordination: Verify and audit freight forwarder, CHA and transporter bills before submission to Accounts, and coordinate for timely processing of vendor payments and payment provisions.
10. Logistics MIS & Record Management: Maintain updated logistics and shipment data and periodically circulate shipment tracking, planning, payment provision and other operational reports. Ensure systematic maintenance of both soft-copy and hard-copy records.
11. Cost Control & Vendor Management: Regularly review logistics and shipment costs and identify opportunities for cost reduction without compromising service quality or shipment schedules. Maintain strong working relationships with CHAs, freight forwarders, shipping line representatives and logistics partners.
12. Process Improvement & Compliance Support: Develop a subject-wise logistics training calendar for self and team, share monthly updates on developments in logistics operations, and support the organization in ISO certification and other operations-related compliance/process improvement initiatives.

Experience Requirement

5-10 years of relevant experience in Export-Import Operations, Logistics, Shipping and Documentation, preferably involving coordination with factories, CHAs/freight forwarders, shipping lines, banks, customers and government portals.
