Qualifications

Job description

Responsibilities

• Partner with Head-Ahmedabad in understanding the organization’s requirement for Hard services across all facilities (including MEP maintenance services, Inventory management for all supplies and tools, Infrastructure management and maintenance, and space management)
• Develop the budget for Hard Services in consultation with Head-Ahmedabad;
• Ensure adherence to pre-defined budgetary and cost optimization guidelines
• Define a service delivery framework and service delivery plan for hard services basis the requirements for every facility/property under purview
• Define and communicate operating procedure/ guidelines for hard services in accordance with the overall policy guidelines; Update the operating procedures from time to time keeping in consideration the changing business dynamics and requirements
• Conduct Need assessment of MEP services from future operational perspective
• Develop a Business Continuity plan from an Admin perspective to ensure smooth operations across locations
• Develop & ensure implementation of SOPs, Engineering Guidelines for Electro- mechanical services, and operation control procedures for smooth operations
• Prepare, analyse & improve SoWs for AMCs for maximum benefit realisation
• Assess, identify, and plan the Life Cycle Completion, replacement of the Electro-mechanical equipment
• Plan a calendar and ensure all MEP activities and structural upgradations are carried out for all facilities (heating/cooling systems, plumbing and water management, lightings, scientific tank cleaning, façade cleaning, painting etc.) with minimal/ zero downtime/ service disruption
• Conduct service inspection and create a sustenance plan for pre-emptive and reactive maintenance to minimize downtime at Sites
• Track and ensure timely renewal & submission of all mandatory compliances, licenses and health, safety, and statutory environmental requirements
• Run and oversee complete snag management cycle for acquired property / infrastructure; Ensure closure of critical snags pertaining to MEP services.
• Ensure monitoring of PPM calendar with adherence to all safety protocols
• Management of readable Blue-prints, Schematics and diagrams of the equipment’s
• Analyse and record all test results and prepare analysis documentation statement
• Oversee all mechanical services including HVAC systems, elevators, escalators, Mechanized Systems- BMU, Façade Cradle systems, Dumb waiters, waste disposal systems, Lift well and Stairwell pressurization system, Basement Ventilation & Exhaust System, etc.
• Oversee all electrical & instrumentation services including lighting, load Management & distribution systems, UPS, elevators, earthing and grounding systems
• Oversee all plumbing services including domestic water system, Softener System, RO system, hot & cold-water system, flushing water system, sewage water system, storage tanks, rainwater harvesting system, Water bodies etc.
• Design a plan for mechanical services basis the requirement for the property and work closely with engineering team for proper and timely support
• Devise an annual maintenance calendar for inspection of all services and create a plan for preventive and reactive maintenance for mechanical services to minimize downtime
• Develop a robust breakdown maintenance plan for all core mechanical services; Manage proper placement of signage pertaining to demarcation of safety lines around electromechanical area
• Create a training calendar to ensure resources are updated with the technical know-how, market best practices and industry standards
• Manage day to day operations (including routine maintenance operations, IBMS Rooms and related services and preventive controls) of all mechanical services at respective facility, site or guest house and address critical incidents if any while reporting any near misses
• Review mechanical services’ performance at regular intervals; Conduct audits and root cause analysis of identified issues and ensure timely resolution of all problems with optimal utilization of all resources to increase site effectiveness.
• Lead the conceptualization, design development and planning of new building and infrastructure.
• Collaborate with Architect, Interior Design, MEP Consultants to finalize the design and execute strategy.
• Review and validate design proposals, layout plans and construction drawings.
• Execution and monitoring of Projects.
• Monitor appropriate and timely resolution of hard services’ queries/ grievance redressal at the Helpdesk; Address escalations if any and provide guidance to teams to effectively resolve all queries
• Analyse the service performance and employee satisfaction levels (through formal / informal feedback) and pilot strategic initiatives to drive process improvements to improve employee satisfaction
• Maintain close coordination with other departmental services viz. Fire, Security, Telecom, IT and extend support as required
• Manage communication pertaining to planned maintenance activities
• Adhere to the Admin Governance framework and ensure all hard service processes are in compliance with the same
• Analyse audit findings with regards to hard service operations and collaborate with the concerned stakeholders to develop effective action plans for mitigating risks/ gaps identified
• Ensure timely submission & verification of service partner bills as well as timely pay-out as per agreed SLAs (for all facility services)
• Conduct operational reviews from time to time and ensure smooth service delivery and adherence to defined SLAs for hard services
• Identify and build partnerships and relationships with external vendors, government officials to ensure all necessary permits are in place
• Successfully leverage these networks for value creation for Adani; Oversee partner offerings and lead negotiations with them for all hard services
• Provide insights on service partner performance and address/ resolve any escalations
• Identify areas within Hard services which could be automated/ integrated with technology and collaborate with the relevant stakeholders to plan and deploy these initiatives
• Ensure smooth functioning of the tools for Hard services’ delivery; Track customer satisfaction levels
• Assets’ database to be maintained basis tagging of assets and verified on a bi-annual basis
• Coordinate with third party for timely availability of contractual manpower, manage them through shift planning and manage daily roster for all services; Ensure staff is working in line with the agreed SLA
• Drive a performance driven culture – Set goals, review performance and provide feedback to ensure a motivated and committed team
• Foster an environment of learning and excellence within the team

Qualifications

• B.E./B.Tech in Electrical / Mechanical Engineering (Preferred: MBA (Operations/Facilities Management) / PGDM in Facilities Management)
• 8-12 years of experience in Facility Management, Corporate Administration, Workplace Services, Hospitality, Real Estate Operations, or IFM.
• Min 5+ years in Technical Services, Facility Engineering, Building Operations, or IFM.
• Experience managing corporate campuses, commercial buildings, data centers, industrial facilities, or mixed-use developments.
• Hands-on exposure to MEP operations and critical infrastructure management.
• Exposure in facility digitization and CAFM implementation.
