Job description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Junior Permit Coordinator based in India.

As a Junior Permit Coordinator, you will manage the end-to-end processing of permit requests for moving and construction-related activities across major cities in the United States and Canada. You will play an essential role in ensuring that permits are submitted accurately, approved within required timelines, and delivered with complete documentation. Working remotely with a collaborative team, you will research locations, navigate municipal application systems, and coordinate with local vendors to arrange parking restriction signage. You will also help maintain accurate payment records, verify billing information, and resolve potential issues before they affect service delivery. This role is ideal for an organized, detail-oriented professional who enjoys managing multiple priorities in a fast-paced environment. You will work closely with U.S.-based teams and gain valuable experience in administrative coordination, customer service, and municipal permit processes.

Accountabilities
  • Receive, review, and process approved permit requests submitted through MovingPermits.com, ensuring that all relevant information is accurately recorded and synchronized with HubSpot.
  • Research requested addresses using Google Maps and Street View to verify locations, identify potential obstacles, and confirm the accuracy of permit requests.
  • Organize and prioritize incoming requests by city, submission date, and applicable lead times to ensure that deadlines are consistently met.
  • Submit permit applications through city-specific government websites and online portals, following local requirements, procedures, and documentation standards.
  • Monitor application progress and ensure that all required permit documentation is complete, accurate, and ready for delivery to customers.
  • Identify unclear requests, address discrepancies, and elevate potential issues to the appropriate team members, documenting findings and actions taken.
  • Process permit-related payments using the company credit card and maintain accurate records of transactions and associated expenses.
  • Coordinate with local sign-posting vendors to schedule Tow Zone sign installations and communicate location-specific instructions to support timely service delivery.
  • Proactively identify potential conflicts or operational challenges that could affect customers or scheduled jobs and work with relevant stakeholders to resolve them.
  • Review job pricing, individual line items, totals, and billing details to verify accuracy before customer invoicing.
  • Maintain clear records of permit requests, payments, vendor communications, and outstanding issues to support operational efficiency and accountability.
  • Manage a portfolio of approximately two to six major markets simultaneously, adapting to different municipal processes and deadlines while maintaining consistent service quality.
  • Collaborate with U.S.-based colleagues and other internal stakeholders, ensuring effective communication and continuity throughout the permit coordination process.
Requirements
  • At least one year of experience in office administration, administrative coordination, customer support, or a related field.
  • Strong written and spoken English skills, with the ability to communicate professionally and clearly with internal teams, customers, and external vendors.
  • Excellent organizational skills and meticulous attention to detail, particularly when handling applications, documentation, payments, and billing information.
  • Proven ability to manage multiple tasks and competing priorities while meeting strict, non-negotiable deadlines in a fast-paced environment.
  • Proficiency with computer systems and web-based applications, with the ability to learn new software platforms, databases, and online government portals quickly.
  • Strong analytical and problem-solving skills, including the ability to research addresses, identify discrepancies, investigate potential issues, and raise concerns appropriately.
  • A customer-focused mindset and professional communication skills, with a commitment to delivering accurate documentation and resolving issues before they affect service delivery.
  • Ability to work independently, take ownership of assigned markets and requests, and collaborate effectively with distributed teams.
  • Experience working with U.S.-based business teams is required, along with the ability to maintain full working-hour overlap with U.S. Eastern Time business hours.
  • Willingness and availability to work the required night shift from 7:30 PM to 3:30 AM India Standard Time (IST).
  • Access to a quiet, dedicated workspace and a reliable internet connection with minimum speeds of 30 Mbps download and 10 Mbps upload.
  • Familiarity with CRM platforms such as HubSpot is preferred.
  • Previous exposure to permit applications, regulatory procedures, municipal systems, or online government portals is an advantage.
  • Knowledge of city-specific parking regulations, temporary parking restrictions, or right-of-way policies is desirable.
Benefits
  • Competitive salary: Annual compensation ranging from INR 450,000 to INR 630,000, depending on experience, skills, relevant knowledge, and other applicable factors.
  • Night shift allowance: Additional allowance for working U.S. Eastern Time business hours, in accordance with company policy.
  • Fully remote work: Work from home in India without the need for daily office commuting.
  • Health insurance: Access to medical insurance coverage to support your health and well-being.

  • Retirement benefits: Access to applicable retirement and financial well-being benefits.
  • Paid holidays: Enjoy 12 company-paid holidays annually, along with two flexible holidays.
  • Paid leave: Access privilege or earned leave, casual leave, and sick leave.
  • Parental benefits: Paid maternity and paternity leave to support employees and their families.
  • Wellness initiatives: Participate in weekly wellness events and programs designed to support physical and mental well-being.
