The role requires 2+ years of hands-on ITAM/IT operations experience and a detail-oriented approach for audit reconciliation and policy enforcement.

Qualifications

• Associate's or Bachelor's degree in Information Technology, Computer Science, Business Administration, or equivalent practical experience.
• 2+ years of dedicated experience in IT Asset Management (ITAM), IT Service Desk, or IT Operations.
• Hands-on experience with ITAM/ITSM platforms (e.g., ServiceNow, SDP).
• Familiarity with Endpoint Management & MDM tools (e.g., Microsoft Intune, SCCM).
• Solid working knowledge of PC/Mac hardware, peripherals, and enterprise IT components.

1 Role Summary & Position Purpose

We are seeking a detail-oriented and proactive IT Asset Coordinator to manage the complete lifecycle of our organization's hardware and technology assets. In this role, you will maintain impeccable inventory accuracy, oversee deployment and offboarding workflows, coordinate IT procurement and handle secure e-waste disposal. You will serve as the core liaison between IT support, procurement, vendors, and business end-users.

2. Key Responsibilities & Essential Duties Asset Tracking & Inventory Management

• Database Ownership: Maintain, update, and audit the IT Asset Management (ITAM) database / CMDB for all hardware (laptops, desktops, monitors, networking gear).
• Physical Audits: Conduct regular physical and automated inventory across all office locations and remote depots to ensure 100% record accuracy.
• Asset Tagging: Receive, unpack, inspect, asset-tag, and log all incoming technology shipments prior to deployment.

Lifecycle Operations & User Support

• Onboarding Support: Coordinate hardware preparation, provisioning, and delivery for new hire onboarding in partnership with Helpdesk and HR.
• Offboarding & Recovery: Manage hardware return logistics, device wiping, damage inspection, and inventory restocking during employee offboardings.
• Maintenance & Warranty: Track hardware warranty coverage, manage Return Merchandise Authorizations (RMA), and schedule hardware repairs with external vendors.
• E-Waste & Retirement: Execute secure device retirement and environmentally responsible e-waste recycling, ensuring complete data destruction and obtaining certificates of destruction.

Procurement & Vendor Coordination

• Purchase Requests: Process hardware requisitions, track PO status, and coordinate timely deliveries with vendors and internal procurement teams.
• Vendor Relations: Maintain productive relationships with hardware OEMs, peripheral suppliers, and logistics partners.

IT Asset Coordinator Job Description Reporting & Process Optimization

• Metrics & Analytics: Generate monthly executive reports on inventory stock levels, asset aging, replacement cycles, and expenditure trends.
• Policy Enforcer: Enforce organizational ITAM policies and standard operating procedures (SOPs) across all departments.

3. Qualifications & Technical Requirements Education & Experience

• Associate's or Bachelor's degree in Information Technology, Computer Science, Business Administration, or equivalent practical experience.
• 2+ years of dedicated experience in IT Asset Management (ITAM), IT Service Desk, or IT Operations.

Technical Proficiencies

• Hands-on experience with ITAM/ITSM platforms (e.g., ServiceNow, SDP)
• Familiarity with Endpoint Management & MDM tools (e.g., Microsoft Intune, SCCM).
• Solid working knowledge of PC/Mac hardware architecture, mobile OS, peripherals, and enterprise IT components.
• Advanced skills in Microsoft Excel / Google Sheets (VLOOKUP, XLOOKUP, Pivot Tables, data cleaning) for audit reconciliation.

4. Physical Demands & Working Environment

• Ability to work in IT storage rooms, server rooms, and office environments, including bending, reaching, and unboxing equipment.
• Standard schedule with occasional evening/weekend maintenance windows or inventory counts as required.
