Job summary

Quatre Agro Enterprise in Maharashtra is seeking a Spare Parts & Inventory Coordinator to ensure availability, accuracy, issuance, and traceability of spare parts.

You will manage the full lifecycle of spares—from stock monitoring, procurement coordination, GRN, to dispatch tracking and scrap control—with strict documentation and SOP compliance.

Qualifications

• Graduation or Diploma in Operations, Supply Chain, Engineering, or related field.
• Proven ability to manage spare parts inventory lifecycle and documentation.
• Experience in service/engineering spare parts handling is preferred.

Responsibilities

• Monitor spare parts stock upon service complaints and raise indents for items below min stock.
• Coordinate purchase orders with approved vendors with accurate part details and maintain stock levels.
• Verify incoming goods, raise GRN with invoice/challan, and update stock registers.
• Dispatch spares to technicians or via courier with accurate tracking and POD.
• Collect old spares with photos and dispose scrap per policy; maintain records of scrap movements.
• Maintain traceable documentation for all spare movements and conform to SOPs.

Role Summary

The Spare Parts & Inventory Coordinator is responsible for ensuring the availability, accuracy, issuance, and traceability of spare parts while maintaining proper documentation and compliance with company policies. The role manages the complete lifecycle of spares - from stock monitoring, procurement coordination, goods receipt, storage accuracy, dispatch tracking, to scrap control - ensuring uninterrupted service operations.

Key Responsibilities

Spare Parts Availability & Procurement

• Monitor spare parts stock immediately upon receiving service complaints
• Raise indents for items below minimum stock levels
• Coordinate purchase orders with approved vendors with accurate part details
• Maintain minimum stock levels as per approved norms

Goods Receipt & Stock Accuracy

• Physically verify incoming goods (quantity, part number, condition)
• Ensure GRN is raised with invoice and challan
• Update stock registers / systems after GRN
• Report shortages, damages, or discrepancies to HOD

Spare Issue & Dispatch Management

• Issue spares to technicians or through courier on time
• Update dispatch details including courier, AWB, and receiver details
• Track shipments until delivery confirmation
• Close dispatch with proof of delivery

Old Spares & Scrap Control

• Collect old spares after service with list, photos, and condition details
• Ensure return of old spares with acknowledgement
• Dispose scrap strictly as per company policy
• Maintain records of scrap and old spare movements

Documentation & Compliance

• Maintain accurate documentation for all spare movements
• Ensure traceability of stock from receipt to disposal
• Follow SOPs and internal control procedures

Required Qualifications

• Graduation / Diploma in Operations, Supply Chain, Engineering, or related field

Experience Requirements

• 2-5 years of experience in stores, inventory, spare parts management, or warehouse operations
• Experience in service or engineering spare parts handling preferred
