Job summary

Knowbal Migration & Education in Gandhinagar, Gujarat is seeking an Immigration Case Worker to prepare visa and education applications from client documents and be the day-to-day contact for assigned clients.

You will maintain files and CRM records, coordinate with the RMA for immigration advice, and ensure accuracy while meeting deadlines in a high-volume environment.

Qualifications

• 2–3 years in administration, documentation or client services with accurate data entry.
• Clear, correct professional written English.
• Experience writing emails, CRM chats and client communications with remote managers.
• Proficiency with MS Office and at least one CRM system.

Responsibilities

• Prepare visa and education applications from client documents per RMA instructions.
• Verify details against source documents before sending for review.
• Serve as day-to-day contact for assigned clients via email, phone and WhatsApp.
• Follow up on outstanding documents and flag unresponsive clients early.
• Organise, file and check client documents for completeness and expiry dates.
• Maintain CRM records and log client interactions on the same day.
• Generate invoices, track payments and send reminders.

About the role

As an Immigration Case Worker, you prepare visa and education application forms from client documents and are the day-to-day contact for your assigned clients. You keep files, CRM records and client updates current, and you pass any questions that need immigration advice to the RMA.

Key responsibilities

• Prepare student, skilled, employer-sponsored and family visa applications, and education applications, from RMA instructions
• Check every detail against the source documents before you send a form for review
• Be the day-to-day contact for assigned clients by email, phone and WhatsApp, giving status updates and explaining document requirements
• Follow up outstanding documents and flag unresponsive clients early
• Organise, file and check client documents for completeness, expiry dates, translations and certification
• Keep application status, key dates and tasks current in the CRM, and log every client interaction the same day
• Generate invoices, track payments and send payment reminders

Requirements

• 2–3 years in administration, documentation or client services where accurate data entry mattered
• Clear, correct professional written English
• Experience working mainly in writing (email, CRM, chat) with remote managers
• Confident with MS Office and at least one CRM system

Preferred

• Experience in a high-volume, deadline-driven role
• Client-facing experience explaining processes or requirements
• Background in migration, education, visas or other form-heavy regulated admin
• Familiarity with Australian visa categories
