Job summary

Cushman & Wakefield in Gurugram, India, is seeking a Facility Executive - Soft Services to supervise and manage soft services and related facilities operations. The role reports to the Operations Manager and involves coordinating with clients, vendors and residents, ensuring compliance, and maintaining safety standards.

The candidate will oversee budget adherence, prepare periodic management reports, review maintenance schedules and ensure timely invoicing and payments.

Responsibilities

• Reports to Operation Manager and client; supervises soft and engineering services per scope of work.
• Conducts regular rounds of the complex and supervises major or critical activities.
• Supervises major/minor breakdowns affecting staff.
• Generates periodic reports for management.
• Monitors budgeted expenditure and flags any unbudgeted costs.
• Discusses approvals for purchases and manpower with management.
• Ensures timely submission of invoices and payments to vendors.
• Submits Monthly Management Report (MMR) on time.
• Regularly reviews with client and Operation Manager to highlight discrepancies.
• Reviews PPM schedules, log books, checklists, service records, and test certificates.
• Ensures processes and documents follow and are maintained per C&W standards.
• Ensures statutory compliance by contractors (ESI, PF, insurance, etc.).
• Coordinates with AMC service providers for regular and breakdown maintenance.
• Interacts with residents during daily rounds and meetings about issues.
• Implements safe work practices and ensures safety guidelines are followed by team and vendors; cross-check duties of Electrical Supervisor.

• Reports to Operation Manager and Client Supervises activities pertaining to all soft services, engineering services and other services as per scope of work to ensure smooth operation.
• Takes regular rounds of the complex and take feed/ supervise any major or critical activity taking place the complex.
• Supervise any major/minor breakdown which will affect the employees.
• Generates periodical reports as required by the Management.
• Keep a control on the budgeted expenditure and appraise the management of any non- budgeted expenditure foreseen.
• To discuss with management regarding all necessary approvals for purchases and manpower.
• Timely submission of all invoices and bills and timely payment of all vendor staff
• Timely submission of MMR (Monthly Management report)
• Regularly reviews with client and Operation Manager and highlights any operational discrepancies if any.
• Review all PPM schedules, log books & checklist, service records and test certificates.
• Ensure the process and documents are followed and documents are maintained as per C&W standards
• Ensures 100% statutory compliance by contractors like ESI, PF, insurance etc.
• Co-ordinates with Annual Maintenance Contract (AMC) service providers for regular & break down maintenance activities.
• Interact with residents on daily rounds and scheduled meetings regarding any issue pertaining to the premises.
• Implements safe work practices and ensures that team members/ vendors meet all safety guidelines/ requirements. To ensure that all duties assigned to the Electrical Supervisor / Supervisor Panel (Advance) are being undertaken and should be cross checked, if needed.
