Job summary

Encube Ethicals Limited is seeking an experienced Executive - Purchase to manage end-to-end procurement of imported RM & PM, APIs and packaging materials for our Mumbai operations. The role requires hands-on import procurement, SAP transactions, vendor coordination, import documentation, shipment tracking, and MIS reporting in a pharmaceutical context.

You will coordinate PR-to-PO cycles, engage suppliers, maintain regulatory and quality documents, track OTIF, and support payments and LC

Qualifications

• Experience in import procurement for pharma raw materials and packaging materials.
• Experience with vendor qualification, contract management and supplier performance monitoring.
• Experience with import documentation, shipment tracking and MIS reporting.

Responsibilities

• Manage end-to-end PR-to-PO for imported APIs, RM & PM.
• Coordinate with vendors for quotations, price negotiations, PO, delivery schedules and material availability.
• Maintain vendor qualification documents, quality agreements, and regulatory documents.
• Coordinate with QA for vendor approval and AVL updates.
• Liaise with Regulatory Affairs for import permissions and docs.
• Track shipments and OTIF performance; follow up with vendors.
• Prepare weekly/monthly MIS reports and procurement updates.
• Handle CAPA-related material issues and cross-department coordination.
• Coordinate with Finance for supplier payments and LC documentation.
• Monitor inventory with Stores and Planning to avoid shortages.
• Resolve procurement-related delays and urgent material requirements.
• Maintain relationships with internal stakeholders and suppliers.

Job Title: Executive - Purchase (Imported RM & PM)

Location: Mumbai

Job Summary:

We are looking for an experienced Purchase Executive to manage the end-to-end procurement of imported Raw Materials (RM & PM), including APIs, and Packaging Materials (PM). The ideal candidate should have experience in import procurement, SAP transactions, vendor coordination, import documentation, shipment tracking, and MIS reporting, preferably in the pharmaceutical industry.

Key Responsibilities:

• Manage the end-to-end PR-to-PO process for imported APIs, raw materials, and packaging materials.
• Coordinate with vendors for quotations, price negotiations, purchase orders, delivery schedules, and material availability.
• Ensure timely collection and maintenance of vendor qualification documents, quality agreements, and regulatory documents.
• Coordinate with the Quality Assurance (QA) team for vendor approval, documentation, and Approved Vendor List (AVL) updates.
• Liaise with the Regulatory Affairs team to obtain import permissions and other required documentation for imported raw materials.
• Track shipments, monitor delivery schedules, and follow up with vendors to improve On-Time In-Full (OTIF) performance.
• Prepare weekly and monthly MIS reports, shipment tracking sheets, material shortage reports, and procurement updates.
• Handle material rejection cases, coordinate with relevant departments, and follow up on Corrective and Preventive Actions (CAPA).
• Coordinate with the Finance team for timely supplier payments and manage documentation related to Advance Letter of Credit (LC) and Form 10.
• Monitor inventory levels in coordination with Stores and Planning teams to avoid material shortages and ensure uninterrupted production.
• Resolve procurement-related issues, including supply delays, shipment discrepancies, and urgent material requirements.
• Maintain effective relationships with internal stakeholders and external suppliers.

Required Skills and Competencies:

• Good knowledge of imported API, raw material, and packaging material procurement.
• Working knowledge of SAP for purchase requisitions (PR), purchase orders (PO), material tracking, and procurement transactions.
• Strong MS Excel skills, including XLOOKUP, Pivot Tables, SUMIFS, filters, and MIS reporting.
• Understanding of import documentation, shipment tracking, lead-time management, and regulatory requirements.
• Knowledge of vendor negotiations, vendor qualification, contract management, and supplier performance monitoring.
• Understanding of Advance LC and Form 10 processes.
• Strong coordination, analytical, communication, and problem-solving skills.
• Ability to manage multiple priorities and ensure timely material availability.

Educational Qualification & Experience:

• Qualification: B.Com / B.Sc.
• Experience: 4-5 years in Purchase / Procurement, preferably in the pharmaceutical industry.
• Preferred Industry: Pharmaceutical manufacturing.
