Executive Associate Founders Office

About the Role
The Founders Office is at the center of strategic execution. As an Executive Associate, you will work directly with the Founder to drive priorities, bring structure to complex discussions, and ensure that ideas translate into execution.
This is not a traditional Executive Assistant role. We are looking for someone who can think independently, communicate clearly, coordinate effectively, and leverage AI and modern productivity tools to improve speed and quality of work.
You should be comfortable working in a fast-paced environment where discretion, ownership, structured thinking, and execution excellence are essential.
Key Responsibilities
1. Founder's Office & Strategic Support
- Partner closely with the Founder/Director on strategic initiatives, business reviews, and key projects.
- Capture discussions and convert them into structured action plans, trackers, and decision notes.
- Coordinate across business functions, leadership teams, consultants, and external stakeholders.
- Drive execution by ensuring discussions translate into measurable outcomes.
2. Documentation, Business Communication & Presentations
- Prepare high-quality business documents, proposals, meeting minutes, executive summaries, and reports.
- Develop professional presentations for leadership reviews, board discussions, and external meetings.
- Convert rough ideas, handwritten notes, voice recordings, or meeting conversations into structured, actionable documentation.
- Maintain organized repositories of presentations, trackers, key decisions, and important business documents.
3. AI-Driven Productivity & Business Research
- Leverage AI tools and digital productivity platforms to improve efficiency and quality of execution.
- Conduct market research, competitor benchmarking, and business analysis to support decision-making.
- Prepare concise briefing notes, comparison reports, and background material for leadership discussions.
- Recommend smarter workflows and automation opportunities within the Founders Office.
4. Execution Tracking & Stakeholder Coordination
- Track founder-level priorities and ensure timely execution.
- Follow up with internal teams and external stakeholders to drive accountability.
- Identify execution bottlenecks and proactively facilitate resolution.
- Prepare periodic progress reports and executive dashboards.
5. Calendar & Executive Planning
- Manage the Founders calendar, meetings, travel schedules, and daily priorities.
- Ensure meetings are well-prepared with agendas, supporting documents, and relevant context.
- Coordinate logistics and ensure effective follow-up after every meeting.
- Prioritize requests and schedules based on business impact and urgency.
Ideal Candidate Profile
- MBA or equivalent management qualification preferred.
- 412 years of professional experience.
- Recent experience (25 years) in Founders Office, Strategy, Business Operations, Executive Office, Consulting, or similar high-impact roles preferred.
- Excellent verbal and written communication skills.
- Strong ability to prepare business presentations, reports, executive summaries, and documentation.
- Highly proficient with AI tools, productivity software, and digital collaboration platforms.
- Strong analytical thinking with the ability to understand business context quickly.
- Exceptional organizational, coordination, and follow-up skills.
- High level of integrity, professionalism, discretion, and ownership.
- Comfortable handling confidential information and working directly with senior leadership.
- Willingness to work full-time from the office.
