Job summary

ExCo, the company behind Bucketlist and BHX Project, seeks a highly organised operations candidate in Bangalore to run the founder's week and keep the office's operating rhythm visible. This is two jobs in one seat: founder support and in-office coordination, with daily presence Monday to Friday.

You will manage travel, calendars, follow-ups, and the weekly scoreboard, ensuring commitments are tracked and escalated when needed. The role stays operations-focused and hands-on.

ExCo is the company behind Bucketlist and BHX Project.

Bucketlist creates international adventures where the group matters as much as the place. BHX Project is a creative residency — a brain vacation for founders, creators, artists, leaders and builders.

We are looking for one person to run the founder's working life, and to keep the office's operating rhythm visible.

This is two jobs in one seat and we will not pretend otherwise. One half is making sure the founder's week works — travel, tickets, visas, calendar, follow-ups, and the twenty small things that go wrong at inconvenient hours. The other half is being in the office every day and keeping the team's operating rhythm honest: who filed their weekly update, what is overdue, what has gone quiet, what was promised on Monday and has not moved by Thursday.

You are not the person who hands out consequences. That sits with the founders and the operations lead. You are the person who makes sure nothing quietly disappears.

THE WORK

Founder support

• Own travel end to end: flights, hotels, visas, forex, ground movement, and changes at short notice.
• Run the calendar and protect it. Say no on his behalf when the answer is obviously no.
• Chase the people who owe answers, and close the loop yourself wherever you can.
• Prepare what a meeting needs before it happens, not after.
• Keep a running list of everything he said he would do, and put it back in front of him.

Office rhythm

• Be in the office every working day and know what is actually happening in it.
• Keep the weekly scoreboard current: done, in progress, overdue, blocked.
• Publish it. Same place, same day, every week, whether the news is good or bad.
• Flag a slipping commitment 48 hours before the deadline, not the day after.
• Escalate to the named owners without softening the facts and without adding your own verdict.

Coordination

• Take decisions out of meetings and turn them into an owner, a date, and a place they are tracked.
• Notice when two teams are waiting on each other and nobody has said so out loud.
• Handle vendors, bookings, small purchases and office logistics without being asked twice.

YOU WOULD BE A STRONG FIT IF

• You close loops. Something that is 80% done bothers you.
• You are comfortable telling a senior person, politely and in writing, that they are late.
• You are literal and organised, and you would rather be precise than impressive.
• You notice the detail nobody else caught — a wrong date, a dead link, a number that quietly changed.
• You raise risks early. You would rather be wrong about a warning than right about a post-mortem.
• You already use AI tools in a normal week to clear the mundane, so your time goes to the calls only a person can make.
• You can work from our Bangalore office Monday to Friday, and pick up the phone when a flight collapses on a Sunday.

• You want a job where the work is handed to you defined every morning.
• You find it uncomfortable to put someone's missed commitment in writing where others can see it.
• You want to be liked more than you want to be trusted.
• You are looking for a stepping stone into marketing, design or strategy. This seat is operations, and it stays operations.
• You need work to be interesting before you will do it well. Most of this is unglamorous and repetitive, and it matters enormously.

TEAM AND GROWTH

You report to the founder directly, and work daily with the co-founder and the operations lead. You will see how every part of the company actually runs — money, production, supply, sales, creative — from the only seat that touches all of them. Where it goes next depends entirely on what you prove you can hold.
