Job Description:

Executive Assistant & Operations (PMP)

Location: Gurgaon, India; overlap with London working hours

Experience: 7-10 years

About the Company

Alvarez & Marsal (A&M) is a global consulting firm with more than 10,000 entrepreneurial, action- and results-oriented professionals across over 40 countries. We take a hands‑on approach to solving client problems and helping organizations reach their potential. Our culture values independent thinkers and doers who create meaningful impact for clients and shape the consulting industry. A&M offers a collaborative environment and engaging work grounded in Integrity, Quality, Objectivity, Fun, Personal Reward, and Inclusive Diversity. The organization values practical execution, thoughtful partnership, and high standards of professional conduct. Teams work across functions and geographies to deliver client outcomes, while empowering people to take ownership and contribute ideas. This role supports the Valuations team and partners closely with a London‑based Managing Director, making reliability, discretion, responsiveness, and strong cross‑border coordination essential to the way work gets done.

About the Role

This is a pure Executive Assistant role with an expanded operations mandate supporting a London‑based Managing Director in the Valuations team. You will own complex executive coordination while also managing project administration, client onboarding, billing support, and cross‑functional follow‑through. The key differentiator from a generic EA role is hands‑on experience with project billing and client or project coordination, including new client onboarding and MD‑level support. You will create operating rhythm across calendars, meetings, project codes, conflict checks, documentation, invoices, expenses, travel, events, and deliverables. Success means the Managing Director and team can focus on clients because priorities are organized, project information is accurate, billing processes move on time, and stakeholders receive clear communication. The role requires Gurgaon‑based onsite collaboration and dependable overlap with London working hours until 11 PM IST.

Key Responsibilities
  • Own complex calendars, meetings, agendas, logistics, correspondence, presentations, reports, and follow‑ups for a London‑based Managing Director, protecting priorities and improving executive decision readiness.
  • Coordinate new client onboarding by submitting project‑code and conflict‑check requests, reviewing outcomes, escalating issues, and ensuring required records are complete before work progresses.
  • Maintain project folders, documentation, and compliance standards; perform periodic audits so Valuations teams can locate accurate information and meet organizational governance expectations.
  • Track project milestones, deadlines, actions, and deliverables across internal teams, creating visibility and timely escalation that keeps client and business commitments on course.
  • Support project billing by drafting client invoices, coordinating invoice processing, entering time and expenses, resolving Finance queries, and supporting budget tracking and reconciliation accurately.
  • Arrange domestic and international travel, visas, itineraries, leadership meetings, workshops, and events, reducing logistical friction for executives, teams, clients, and external participants.
  • Coordinate with Finance, HR, IT, Marketing, Legal, clients, vendors, and business partners while supporting presentations, marketing materials, client documents, and special projects.
Essential Skills & Technologies
  • Demonstrated project billing and client or project coordination experience is non‑negotiable, including new client onboarding, project administration, invoicing support, and MD‑level executive support.
  • Strong executive administration, calendar management, stakeholder coordination, communication, organization, discretion, and prioritization skills are essential for managing competing global demands under pressure.
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams, with Salesforce strongly preferred; familiarity with Concur, Box, or similar business systems is valuable.
Additional Plus
  • Experience in a Big Four firm, MBB, or another professional services organization is strongly preferred because the role requires familiarity with senior client‑facing and project‑based operating environments.
  • Experience supporting global stakeholders across multiple time zones, particularly London‑based leaders, will help maintain dependable communication and execution through the required late‑hour overlap.
  • Exposure to process improvement, project folder audits, conflict checks, budget tracking, event coordination, and marketing or business development support will strengthen effectiveness in the role.
What You’ll Bring
  • You bring 7–10 years of experience in executive assistance, administrative support, or business operations, ideally from a Big Four firm, MBB, or another professional services organization. You have supported senior executives and global stakeholders across multiple time zones, and you understand how to manage high‑volume priorities without losing accuracy or discretion.
  • Crucially, you have hands‑on project billing and client or project coordination experience, including new client onboarding, project codes, conflict checks, invoice support, and follow‑through with Finance. You are highly organized, proactive, self‑motivated, and comfortable operating independently while collaborating across functions.
  • Your communication is clear, polished, and service‑oriented, whether working with a Managing Director, client, vendor, or internal team. You bring strong calendar management, travel coordination, presentation preparation, documentation, and meeting‑management capabilities.
  • You are confident using Microsoft Office and preferably Salesforce, with the adaptability to learn tools such as Concur, Box, or comparable applications. You maintain professionalism, confidentiality, and composure under pressure, and you are willing to work onsite in Gurgaon with overlap until 11 PM IST.
Why Join Us
  • Support a senior leader and the Valuations team in a global consulting environment where disciplined coordination directly improves client delivery, commercial administration, and executive effectiveness.
  • Build a broader operations career while remaining anchored in executive assistance, gaining exposure to onboarding, billing, project governance, stakeholder management, events, and business support.
  • Work with entrepreneurial, action‑oriented professionals across an international firm that values independent ownership, practical problem‑solving, collaboration, and meaningful client impact.
What We Offer
  • A high‑visibility opportunity to partner with a London‑based Managing Director and support a globally connected Valuations team from Gurgaon.
  • A role combining executive support with project coordination, client onboarding, billing, stakeholder management, and operational improvement, offering meaningful scope beyond a generic EA position.
  • Exposure to a collaborative professional services environment guided by Integrity, Quality, Objectivity, Fun, Personal Reward, and Inclusive Diversity.
  • The opportunity to work with international stakeholders and develop expertise across executive operations, project administration, financial coordination, and business support.
