Role Summary
The Engineering Administrator provides administrative, documentation, and coordination support to the engineering team. This role ensures smooth workflow within the department, maintains accurate records, and supports engineers in day‑to‑day tasks. The Engineering Administrator plays a key role in maintaining project documentation, facilitating communication, and supporting engineering operations.
Key Responsibilities
- Maintain and manage engineering documents, drawings, and records in accordance with company procedures.
- Support engineers in preparing reports, presentations, and correspondence.
- Coordinate with procurement, QA/QC, and project teams regarding documentation requirements.
- Ensure timely submission of engineering deliverables to clients and internal stakeholders.
- Assist in project scheduling, meeting coordination, and tracking of action items.
- Organize and maintain project filing systems, both electronic and hard copy.
- Monitor compliance with internal engineering procedures, codes, and standards.
- Support preparation of engineering progress reports and documentation for audits.
- Provide general administrative support to engineering staff, including travel arrangements and office logistics.
Education & Qualifications
- Bachelor’s degree in engineering, Business Administration, or related field preferred.
- Diploma or certificate in office administration is acceptable with relevant experience.
- Minimum 3 years of experience in engineering administration, project documentation, or office management.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and document management systems (e.g., SharePoint, EDM).

Responsibilities
- Project Initiation: Set up filing systems, track initial deliverables.
- Design / Engineering: Maintain drawings, revisions, and technical documentation.
- Procurement & Construction: Coordinate submittals, approvals, and documentation control.
- Commissioning / Handover: Ensure completion and archiving of all engineering documentation.
- Reporting & Meetings: Prepare minutes, action items, and status reports.
