Job summary

Boleser Technologies seeks a meticulous Billing & Procurement Executive to manage cloud licensing procurement, client invoicing, and vendor payables. You will ensure synchronization between what we procure, what we deploy for clients, and what we bill.

In this role you will prevent billing leakage, reconcile licenses, and drive accurate monthly invoices while coordinating with distributors and OEMs to avoid credit interruptions and ensure GST compliance in India.

Qualifications

• 2–4 years of hands-on billing and procurement experience in IT hardware/software reselling.
• Experience in CSP/ MSP cloud partner environment in India.
• Strong proficiency in MS Excel/Google Sheets with advanced formulas.
• Familiarity with distributor cloud marketplaces and admin portals (Microsoft/Google).
• GST/compliance familiarity in Indian invoicing is preferred.

Job Overview

We are seeking a meticulous, numbers-driven Billing & Procurement Executive to manage our cloud licensing procurement pipelines, client billing cycles, and vendor payables. In an M365 and Google Workspace partner ecosystem, subscriptions scale up and down dynamically every month. Your primary mission is to ensure absolute synchronization between what we procure from vendors, what we deploy for clients, and what we bill.You will hold full operational ownership of preventing billing leakage on the client side while systematically managing accounts payable for our distribution partners and OEMs to keep our service running without credit interruptions.

Key Responsibilities1. License Procurement & Provisioning

• Daily Order Execution: Process and provision software licenses (Microsoft 365, Azure, Google Workspace, cybersecurity tools, cloud backups) via major distribution marketplaces (e.g., Ingram Micro, Savex, Redington, Pax8) based on sales team closures.
• Credit & Wallet Monitoring: Track our companys credit limits and prepaid wallet balances on distributor portals to ensure provisioning capabilities are never frozen.

2. Monthly Client Invoicing & Reconciliation

• Billing Leakage Prevention: Audit active license inventories against internal records daily to catch unbilled active user licenses or active invoices for deactivated users.
• Pro-Rata Calculations: Generate and dispatch accurate monthly recurring invoices to corporate clients, taking into account mid-month user additions, tier upgrades, pro-rata usage variations, and credit notes.
• CRM Data Hygiene: Log, update, and manage all billing tiers and contract lengths (e.g., Microsoft NCE annual vs. monthly commitments) perfectly within our in-house CRM.

3. Vendor & OEM Payment Management (Accounts Payable)

• Vendor Invoice Auditing: Review and reconcile massive multi-line monthly bills from distributors and OEMs against internal usage data to flag errors before approving payments.
• Aging & Payout Scheduling: Maintain the Accounts Payable ledger, scheduling vendor payouts within agreed credit windows (e.g., Net 15 / Net 30 days) to avoid late fees or service suspensions.
• Dispute & Credit Note Tracking: Raise formal dispute tickets with distributor finance teams for discrepancies and ensure all approved vendor credit notes are tracked and applied.

4. Tax Compliance

• GST Compliance: Ensure all incoming vendor invoices and outgoing client invoices are fully compliant with Indian GST norms, using correct corporate billing entities, state codes, and appropriate HSN/SAC codes.

Required Skills & Experience

• Experience: 2 to 4 years of hands-on experience in billing and procurement—strictly within an IT hardware/software reseller, Cloud Partner (CSP), or MSP business in India.
• Technical Excel Mastery: Exceptional proficiency in MS Excel / Google Sheets is non-negotiable. You must comfortably use advanced functions (VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS, IF statements) to reconcile thousands of lines of data rows rapidly.
• Platform Familiarity: Direct experience working inside distributor cloud marketplaces (Ingram Cloud Blue, Savex Cloud, Pax8, etc.) or Microsoft Partner Center / Google Admin Consoles.
• Accounting Systems: Practical experience using localized accounting platforms like Tally Prime or Zoho Books.
• Attention to Detail: Meticulous mathematical accuracy and zero tolerance for single-digit errors or unresolved data discrepancies.
