Job Summary:
We are seeking a proactive and detail-orientedAssit. Manager Agency Operations to join our team. The ideal candidate will be responsible for identifying, evaluating, negotiating with, and appointing shipping agents globally on behalf of the vessel owner. This role will also include end-to-end coordination of proforma and final disbursement accounts (PDA/FDA), ensuring cost-efficiency and compliance.
Key Responsibilities:
- Identify and evaluate competent port agents at global ports for various vessel types and operations.
- Negotiate competitive and transparent agency terms, ensuring adherence to owner's commercial and operational interests.
- Finalize and issue agency appointment letters in line with company guidelines.
- Coordinate with operations and chartering teams for timely agent nomination and appointment.
- Review and process Proforma Disbursement Accounts (PDA) to ensure accuracy, competitiveness, and budget alignment.
- Verify and approve Final Disbursement Accounts (FDA), ensuring all services are rendered as agreed, with supporting documentation.
- Maintain and update a central database of approved agents with performance history and rate structures.
- Build and manage long‑term relationships with port agents globally.
- Ensure all appointments and payments comply with internal control, audit, and compliance procedures.
- Support claims or disputes related to agency services as required.
Qualifications & Skills:
- Bachelor’s degree in Maritime Studies, Shipping, Logistics, or a related field preferred.
- 5 years plus of relevant experience in a shipowner/operator/ship management environment or shipping agency handling agency appointments and PDA/FDA.
- Strong negotiation and communication skills.
- Good understanding of port operations, agency functions, and disbursement account processes.
- Detail-oriented with strong analytical and organizational abilities.
- Proficiency in Microsoft Office Suite; familiarity with shipping ERP systems is an advantage.
