Associate Manager Contracts & Procurement (Commercial In-charge)

Roles & Responsibilities

• Develop and maintain a reliable vendor network to ensure uninterrupted supply of materials and services.
• Evaluate and onboard vendors in accordance with quality and commercial requirements.
• Manage local, administrative, and operational procurement activities.
• Review purchase requisitions and ensure compliance before raising Purchase Orders (POs).
• Monitor the complete procurement cycle from requisition to delivery and acceptance.
• Identify contract requirements based on business and user needs.
• Prepare, negotiate, execute, and renew contracts in a timely manner.
• Coordinate procurement activities for facility and infrastructure development/upgrades.
• Ensure all commercial purchases comply with organizational policies and regulatory requirements.
• Obtain and manage required CAR approvals related to procurement activities.
• Process approved advance payments and monitor commercial transactions.
• Ensure timely submission of invoices, Statements of Account (SOA), and vendor payment requests.
• Coordinate with Finance for vendor payment processing and account reconciliation.
• Maintain procurement contracts, commercial records, and statutory documentation.
• Ensure compliance with regulatory, audit, and documentation requirements.
• Collaborate with internal stakeholders including Production, Planning, Stores, Finance, HR, Facility, and Administration for procurement support.
• Liaise with vendors, contractors, freight forwarders, regulatory authorities, airlines, and service providers to ensure seamless operations.
