JOB PURPOSE
Leading the Materials & Assessments Administrator team to ensure the successful delivery of course material and assessments in digital and printed formats (where applicable) for both the University of Law and its clients.
This involves setting clear goals, managing priorities, and ensuring that team members are well-supported and aligned to meet deadlines. Take proactive measures to address challenges, maintain high standards of performance, and foster a results-driven team culture that consistently achieves on-time delivery while upholding the quality of material delivered.
Work collaboratively with colleagues and key stakeholders across professional and academic departments at The University of Law, as well as with external textbook publishers and print suppliers, to ensure operational excellence and deliver high standards of service.
Oversee the operational delivery of DigEd ‘Print Helpdesk’ to provide essential support to both students and staff, resolving queries efficiently, and enhancing user satisfaction through high-quality service. Striving to implement best practices and continuously improve helpdesk operations.

Specific Responsibilities
Team Management
- Oversee the Materials & Assessments team, ensuring efficient and effective workflows by facilitating clear communication and addressing barriers to success.
Performance Monitoring:
- Consistently monitor, achieve, and accurately report all Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
Policy and Procedure Management:
- Maintain and keep all processes, policies, and procedures up to date, ensuring adherence and effective implementation.
- Record and track all externally printed course material and third-party textbook expenditure, ensuring compliance with procurement-to-pay processes.
- Monitor adherence to procurement-to-pay procedures, ensuring all transactions are processed efficiently, accurately, and in line with organisational guidelines.
Training and Development:
- Develop and implement structured onboarding plans for new team members, ensuring seamless integration.
- Support ongoing staff development by organising training sessions and providing resources to keep team members informed of evolving operational best practices.
Helpdesk Operations:
- Manage the development and implementation of good practices for handling helpdesk support tickets, ensuring administrators are trained and have access to comprehensive guidance and frequently asked questions.
- Monitor helpdesk performance, identify areas for improvement, and implement strategies to enhance response times and user satisfaction.
Third-Party Textbook Ordering:
- Primary point of contact for BPC programme textbook ordering.
- Collaborate with internal and external stakeholders to coordinate the delivery of third-party textbook requirements, including supplementary materials for the BPC programme, aligned with programme term dates.
ULIP (DIS):
- Process and deliver ULIP requirements in accordance with SLAs, ensuring all materials meet accessibility standards to accommodate diverse needs.
- Collaborate with relevant stakeholders to ensure resources are accessible to all users, including those with disabilities, in alignment with best practices and legal guidelines.
Reporting and Issue Escalation:
- Report any critical issues to the DigEd Management team promptly, ensuring appropriate action is taken without delay.
Leadership
- Oversee the Materials & Assessments team, ensuring efficient and effective workflows by facilitating clear communication and addressing barriers to success.
- Optimise the use of existing team skills, promoting skill development and knowledge sharing.
- Foster a culture of enquiry, encouraging continuous improvement and empowering team members to deliver innovative solutions.
- Uphold the values of the team and the wider University.
DESIRED PROFILE
Qualification
- Minimum of 5 GCSEs to including English at A-C level.
- A Degree (any subject) with a 2.2 or above.
- A degree (any subject) of 2.1 or above
Experience
- Demonstrated experience in educational course and assessment material coordination.
- Proven leadership experience.
- At least two years’ experience in the learning sector.
- Two Years’ experience in leading a high performing agile team.
Skills & Knowledge
- Exceptional attention to detail.
- Strong oral and written communication skills.
- Outstanding interpersonal skills with a business-focused approach to project delivery.
- Proficiency in online project management tools.
- Effective prioritisation and ability to meet deadlines.
- Advanced IT literacy, including proficiency in Microsoft Office applications such as Word, Excel, PowerPoint, email, and internet tools.
- Expertise in Word formatting, including the use of styles, templates, and advanced formatting features to produce professional documents.
- Experience working with a Learning Management System (LMS).
- Knowledge of Blackboard.
- Familiarity with Monday.com as a project management tool.
- Advanced knowledge of Microsoft tools.
