The ideal candidate is detail-oriented, process-driven, and comfortable working with stakeholders across geographies (India, US, Canada, South Africa).

Key Responsibilities

  • Maintain and update the vendor master file with complete and accurate details on an ongoing basis.
  • Conduct periodic vendor master data reviews/clean-up and coordinate KYC/compliance document renewals.
2. Purchase Order (PO) Processing
  • Raise Purchase Orders in the system as per approved contracts, quotations, or purchase requisitions.
  • Verify PO terms (pricing, tax, payment terms, delivery/service schedule) against contractual agreements before release.
  • Track open POs and follow up on pending goods/service receipts with requestors and vendors.
3. Bill / Invoice Accounting
  • Record vendor bills after 2-way/3-way match with Purchase Orders and goods/service receipt notes.
  • Verify invoice accuracy – GST/TDS applicability, cost centre/GL coding, and approvals – prior to booking.
  • Resolve invoice discrepancies (price, quantity, tax mismatches) with vendors and internal requestors.
  • Ensure timely and accurate accounting of all AP transactions in line with month-end close timelines.
4. Payments Processing
  • Prepare periodic payment proposals/runs based on vendor payment terms and due dates.
  • Process vendor payments (NEFT/RTGS/cheque) accurately and within approved authorization limits.
  • Track TDS deduction, GST reverse charge, and other statutory withholdings on payments.
  • Share remittance advices and resolve vendor payment queries in a timely manner.
5. Cash Flow Management (AP)
  • Prepare and maintain the AP-side cash outflow forecast/schedule based on vendor due dates and payment terms.
  • Prioritize payments to optimize working capital while maintaining vendor relationships and avoiding penalties/interest.
6. Internal Controls & Process Streamlining
  • Ensure adherence to AP approval matrices, segregation of duties, and delegation of authority policies.
  • Identify gaps in the existing AP process and drive standardization, automation, and efficiency improvements.
  • Document and maintain updated Standard Operating Procedures (SOPs) for the AP function.
  • Support implementation of system/process controls to minimize errors, duplicate payments, and leakages.
7. Audit & Compliance
  • Prepare schedules, reconciliations, and supporting documentation for statutory, internal, and tax audits.
  • Respond to audit queries related to vendor bills, POs, payments, and AP ageing in a timely and accurate manner.
  • Ensure AP transactions comply with GST, TDS, and other applicable statutory requirements.
  • Maintain complete and audit-ready documentation trails for all AP transactions.
8. Reconciliations, Reporting & Other Duties
  • Perform periodic vendor statement and AP sub-ledger to GL reconciliations.
  • Maintain AP files, trackers, and documentation in a standardized, centralized repository.
  • Prepare ad-hoc AP reports and MIS (AP ageing, vendor outstanding, accruals) as required by management.
  • Support month-end close activities related to AP (accruals, provisions, GRIR clearing).
  • Liaise with interdepartmental stakeholders and teams across geographies (India, US, Canada, South Africa) to obtain approvals and resolve queries.
Required Skills
  • Solid understanding of accounting principles and the end-to-end Accounts Payable process.
  • Working knowledge of GST and TDS provisions as applicable to vendor payments.
  • Proficiency in Microsoft Office, particularly Excel (lookups, pivot tables).
  • Hands-on experience with ERP/accounting systems (e.g., SAP, Oracle, NetSuite, Tally, or similar).
  • Strong attention to detail, accuracy, and organizational skills.
  • Excellent written and verbal communication skills for cross-geography coordination.
  • Ability to read and interpret contracts/purchase agreements.
