Job Description: Assistant Manager – Project DeliveryPosition Overview
The Assistant Manager – Project Delivery will support the planning, coordination, execution, and successful completion of projects within approved timelines, budgets, quality standards, and compliance requirements. The role will work closely with project managers, internal departments, clients, vendors, consultants, contractors, and other stakeholders to ensure smooth project delivery from initiation through completion and handover.
The ideal candidate will possess strong project coordination, communication, documentation, problem-solving, and stakeholder-management skills, along with the ability to manage multiple priorities and drive timely resolution of project issues.
Key Responsibilities
Project Planning and Coordination
- Assist in preparing project plans, schedules, budgets, resource requirements, and execution strategies.
- Coordinate project activities across planning, design, procurement, execution, testing, commissioning, and handover stages.
- Convert project objectives into actionable work plans and monitor progress against approved milestones.
- Support the Project Manager in establishing project priorities, deliverables, dependencies, and reporting mechanisms.
- Coordinate project meetings with internal teams, clients, contractors, consultants, and vendors.
- Track project actions and ensure timely follow-up and closure.
Project Execution and Delivery
- Monitor day-to-day project activities to ensure work is completed according to approved plans, specifications, timelines, and quality standards.
- Track project milestones, deliverables, dependencies, and critical activities.
- Identify delays, risks, and execution challenges and escalated them in a timely manner.
- Facilitate coordination between cross-functional teams to resolve operational and project-related issues.
- Review work progress, identify performance gaps, and support corrective and preventive actions.
- Assist with project testing, commissioning, documentation, closure, and handover activities.
Stakeholder and Vendor Management
- Act as a coordination point for project-related communication with clients, vendors, contractors, consultants, and internal stakeholders.
- Support monitoring of vendor and contractor performance against agreed scope, timelines, quality requirements, and service levels.
- Assist in reviewing project deliverables, work orders, quotations, invoices, and supporting documentation.
- Maintain effective professional relationships with all project stakeholders.
- Ensure timely communication of project updates, decisions, changes, and risks.
Budget, Cost, and Resource Monitoring
- Support the monitoring of project costs, resource utilization, procurement activities, and budget performance.
- Coordinate with finance, procurement, and project teams to track commitments, payments, variations, and cost-related concerns.
- Identify potential cost overruns, resource constraints, or procurement delays.
- Escalate budgetary and resource-related issues to the Project Manager.
- Support the efficient utilization of project resources within approved financial parameters.
Risk, Quality, and Compliance Management
- Identify, document, and monitor project risks, issues, assumptions, and dependencies.
- Support the preparation and implementation of risk-mitigation plans.
- Follow up on the timely completion of risk and issue-resolution actions.
- Ensure project activities comply with organizational policies, contractual requirements, quality standards, health and safety guidelines, and applicable regulations.
- Participate in quality reviews, audits, inspections, and compliance assessments.
- Promote continuous improvement, operational excellence, and proactive issue resolution.
Reporting and Documentation
- Prepare regular project status reports, dashboards, trackers, presentations, and management updates.
- Prepare meeting agendas, minutes of meetings, action trackers, and follow-up reports.
- Maintain accurate project records, schedules, approvals, change requests, risk registers, and closure documentation.
- Ensure project information is current, accessible, properly controlled, and shared with relevant stakeholders.
- Support reporting on project scope, schedule, cost, quality, risks, deliverables, and overall performance.
Key Requirements
- Bachelor’s degree in Project Management, Engineering, Business Administration, Operations, or a related discipline.
- Approximately 4–7 years of experience in project coordination, project delivery, implementation, operations, or a related function.
- Experience supporting projects from planning and execution through completion and handover.
- Strong understanding of project management principles, delivery methodologies, scheduling, risk management, and stakeholder coordination.
- Proficiency in Microsoft Office, particularly Excel, PowerPoint, and Word.
- Experience with project management, reporting, workflow, or collaboration tools is desirable.
- Ability to interpret project plans, schedules, budgets, reports, and performance data.
- Strong organizational, analytical, documentation, and time-management skills.
- Excellent written and verbal communication skills.
- Ability to coordinate effectively across multiple teams and manage competing priorities.
- Strong problem-solving skills and the ability to upscale issues appropriately.
- Willingness to travel to project sites or stakeholder locations when required.
Preferred Attributes
- PMP, PRINCE2, CAPM, or an equivalent project management certification.
- Experience with project scheduling, dashboards, ERP systems, workflow tools, or collaboration platforms.
- Understanding of contracts, procurement processes, change control, cost management, and vendor administration.
- Commercial awareness and sound business judgment.
- Proactive, collaborative, detail-oriented, and delivery-focused approach.
- Ability to work independently while supporting senior project leadership and cross-functional teams.
