Job Description: Assistant Manager – Project Delivery - MPR-1150 Position Overview
The Assistant Manager – Project Delivery will support the planning, coordination, execution, and successful completion of projects within defined timelines, budgets, quality standards, and business objectives. The role requires close collaboration with internal teams, clients, vendors, and other stakeholders to ensure effective project delivery and timely resolution of operational challenges.
The position will contribute to project governance, progress monitoring, risk management, resource coordination, documentation, and continuous improvement of delivery processes. The successful candidate will demonstrate strong organizational, communication, analytical, and problem-solving skills, with the ability to manage multiple priorities in a dynamic environment.
Key Responsibilities
Project Planning and Execution
- Assist in developing project plans, schedules, milestones, deliverables, and resource requirements.
- Coordinate project activities from initiation through completion in accordance with approved scope, timelines, and quality standards.
- Track project progress and ensure that deliverables are completed as planned.
- Support the Project Manager in translating business requirements into actionable project activities.
- Coordinate dependencies between cross-functional teams to maintain project momentum.
- Ensure that project activities comply with established methodologies, policies, processes, and governance requirements.
Stakeholder and Team Coordination
- Act as a key point of coordination between project teams, business stakeholders, clients, vendors, and support functions.
- Organize and participate in project meetings, status reviews, workshops, and governance forums.
- Prepare meeting agendas, capture minutes, document decisions, and follow up on action items.
- Maintain clear and timely communication regarding project status, priorities, risks, issues, and changes.
- Support alignment among stakeholders and facilitate timely resolution of interdepartmental concerns.
Project Monitoring and Reporting
- Monitor project schedules, budgets, resource utilization, scope, quality, and overall performance.
- Prepare regular project status reports, dashboards, presentations, and management updates.
- Track key performance indicators, milestones, deliverables, and action plans.
- Identify deviations from the approved project plan and escalation concerns through the appropriate channels.
- Maintain accurate and up-to-date project documentation, records, trackers, and reports.
Risk, Issue, and Change Management
- Assist in identifying, assessing, documenting, and monitoring project risks and dependencies.
- Support the development and implementation of mitigation and contingency plans.
- Track project issues through resolution and ensure appropriate ownership and follow-up.
- Evaluate the potential impact of scope, schedule, resource, and process changes.
- Support change control activities and ensure approved changes are properly documented and communicated.
Resource and Vendor Coordination
- Coordinate the allocation and utilization of project resources in collaboration with relevant managers.
- Monitor workload, deliverables, and dependencies across project teams.
- Support vendor and third-party coordination, including deliverable tracking and service follow-up.
- Assist with reviewing project-related requirements, statements of work, purchase requests, and service commitments where applicable.
- Ensure that external partners meet agreed timelines, quality expectations, and contractual obligations.
Quality and Process Improvement
- Ensure that project deliverables meet defined quality, compliance, and acceptance criteria.
- Support quality reviews, documentation checks, testing coordination, and stakeholder sign-offs.
- Identify opportunities to improve project delivery processes, reporting practices, workflows, and team coordination.
- Contribute to the development and maintenance of standard operating procedures, templates, and project management guidelines.
- Capture lessons learned and support their incorporation into future projects.
Project Closure
- Support project closure activities, including final deliverable validation, stakeholder acceptance, documentation completion, and handover.
- Assist in preparing project closure reports and evaluating project performance against objectives.
- Ensure that open items, operational handovers, knowledge transfer, and post-implementation actions are properly tracked.
- Maintain an organized project repository and ensure that relevant records are retained in accordance with organizational requirements.
Key Requirements
Education
- Bachelor’s degree in Project Management, Business Administration, Engineering, Information Technology, Operations, or a related discipline.
- A professional certification in project management, such as PMP, PRINCE2, CAPM, Agile, or equivalent, is desirable.
Experience
- Relevant experience in project coordination, project delivery, program support, operations, or a related field.
- Experience supporting projects involving multiple teams, stakeholders, vendors, and concurrent deliverables.
- Practical understanding of project planning, scheduling, reporting, risk management, issue tracking, and change control.
- Experience using project management tools and maintaining structured project documentation.
Technical and Professional Skills
- Strong understanding of project lifecycle management and delivery methodologies.
- Proficiency in Microsoft Office applications, particularly Excel, PowerPoint, Word, and collaboration platforms.
