Job summary

Smartworks in Gurugram, Haryana, India seeks a Facility Management professional to own AMC tracking, vendor governance, and contract lifecycle across multiple centres. You will manage documentation, oversee bids, negotiate terms, and ensure compliance with GST/TDS while coordinating with Legal and Finance.

The role requires travel to centres, strong Excel/MIS skills, and experience with CAFM/ERP or vendor tools. This is a full-time, onsite position supporting a pan-India network.

Qualifications

• Graduate or Diploma in Engineering (Mechanical/Electrical preferred) or a graduate with strong facility management experience.
• Working knowledge of AMC structures (comprehensive vs non-comprehensive, labour-only vs with spares) for HVAC, lifts, UPS, DG, fire systems and BMS.
• Hands-on experience with contract documentation, SLAs, penalty clauses and basic commercial terms.
• Strong Excel/MIS skills. Experience with a CAFM/ERP or vendor management tool is a plus.
• Good negotiation and stakeholder management skills, and comfort working with multiple vendors and centres.
• Awareness of GST, TDS on contracts and statutory compliance for vendors.
• Willingness to travel to centres as needed.

Responsibilities

• Maintain a central AMC tracker covering vendor, asset, centre, tier, contract status, start/end date and value.
• Send renewal alerts at least 60 days before expiry to prevent AMC lapses.
• Classify each AMC into its tier and gather needed documentation before start/renewal.
• Coordinate with Legal on templates and vendor deviations and address audit gaps.
• Obtain competitive quotes, negotiate rates/scope, compare renewal pricing with prior year.
• Track SLA, response time and preventive maintenance for life-safety systems; apply penalties for non-performance.
• Collaborate with centre facility teams on scope changes and onboarding.
• Verify invoices against contract value and coordinate with Finance on POs and budgets.
• Support Internal Audit with data/evidence and share MIS on spend, expiries, and compliance.
• Build/use pan-India vendor database and explore multi-centre consolidation.

Job description

Key Responsibilities

• Maintain a central AMC tracker covering vendor, asset, centre, tier, contract status, start/end date and value. Send renewal alerts at least 60 days before expiry so no AMC lapses.
• Run the value-and-risk-based contracting SOP: classify each AMC into its tier, and get the right documentation (PO plus addendum, short-form work order, or full agreement) in place before an AMC starts or renews.
• Coordinate with Legal on standard templates and vendor deviations and close the gaps flagged by Internal Audit.
• Get competitive quotes, negotiate rates and scope, and compare renewal pricing with the prior year. HVAC, Lift and UPS are the main spend categories.
• Track SLA, response time and preventive maintenance schedules, especially for life-safety systems (Fire Alarm, Lifts, DG). Escalate non-performing vendors and apply penalties where the contract allows.
• Work with centre facility teams on scope changes, new centre onboarding and equipment additions or removals.
• Verify invoices against contract value and scope, and coordinate with Finance on POs, payment terms and budget tracking.
• Support Internal Audit with data and evidence and share periodic MIS with management: spend by category and centre, expiring contracts, compliance status.
• Build and maintain a pan-India vendor database and identify opportunities to consolidate vendors or negotiate multi-centre rates.
