Qualifications

  • 3-10 years of experience in administration, preferably in hospital/hospitality/corporate settings.

Responsibilities

  • Oversee housekeeping, security, cafeteria, laundry, garden, and maintenance of hospital premises.
  • Lead and manage support staff to maintain high service standards and compliance with safety and hygiene norms.
  • Monitor and renew insurance policies, track costs, and drive cost-reduction strategies.
  • Ensure statutory and legal compliances, renew licenses, and coordinate with municipal and labor authorities.
  • Oversee vendor contracts, AMCs, payments, PF/ESIC compliance, and audit adherence.
  • Control administrative expenses and optimize resource use, including energy conservation and daily operations.
  • Oversee revenue from non-operational activities like parking, scrap sales, and facility rentals.
  • Conduct monthly audits and enforce visitor policies; organize drills and safety training.

Position
We seek a highly motivated and experienced Assistant Manager – Administration to oversee and manage various non-clinical functions, including Housekeeping, Security, Cafeteria, Laundry, Garden, and overall maintenance of hospital premises. The ideal candidate will demonstrate strong leadership, organizational skills, and the ability to enforce discipline and compliance while ensuring seamless daily operations.
Key Responsibilities

  • Operational & Administrative Oversight
    • Lead and manage housekeeping, security, cafeteria, laundry, and support staff to maintain high service standards.
    • Ensure overall cleanliness, safety, and discipline within hospital premises.
    • Track and manage hospital insurances, including renewals, cost reduction strategies, and claims processing.
    • Ensure all statutory & legal compliances, including license renewals and coordination with BMC, MMRDA, Police, MPCB, and labor officials.
    • Monitor AMCs and negotiate contracts effectively.
  • Expense & Resource Management
    • Implement daily energy conservation measures and track energy consumption.
    • Control administrative expenses, including vehicle, phone, and operational costs.
    • Optimize the use of housekeeping chemicals and monitor daily consumption to minimize wastage.
    • Oversee revenue generation from non-operational activities such as parking, scrap sales, and facility rentals.
  • Security & Safety Management
    • Ensure strict compliance with security SLAs and monitor CCTV operations.
    • Supervise security measures, including controlled entry/exit, vehicle checks, and patient assistance.
    • Conduct monthly surprise security checks and enforce visitor policies.
    • Organize fire drills and evacuation training for all employees.
  • Housekeeping & Facility Maintenance
    • Maintain high cleanliness standards in hospital premises, including washrooms and common areas.
    • Oversee weekly buffing schedules and ensure compliance with daily targets.
    • Conduct weekly inspections of hospital hostels and ensure maintenance is in line with set standards.
    • Monitor hospital assets and interior repairs, ensuring timely completion of work.
  • Oversee contract renewals and vendor SLAs, ensuring payments and compliance with PF, ESIC, and other statutory requirements.
  • Address issues related to theft, pilferage, and service-level deviations.
  • Conduct monthly audits to track compliance with hospital policies.
  • Cafeteria & Staff Management
    • Ensure high-quality service, hygiene, and raw material quality in the cafeteria.
    • Monitor staff training, focusing on phone etiquette, prompt service, and hygiene standards.
    • Oversee revenue from café sales and control unauthorized expenses.
  • Training & Development
    • Ensure monthly soft skills training for all staff.
    • Monitor training program effectiveness and implement corrective actions for service improvement.
    • Track and implement improvement initiatives in response to audit findings and patient feedback.

Qualifications & Experience

  • MBA / MHA/ PGDM / BHM or equivalent.
  • 3-10years of experience inadministration, preferably in a hospital / hospitality / corporate setting.
