Job Summary
Proflow is looking for a responsible and detail-oriented Accounts Executive to manage day-to-day accounting, taxation documentation, banking transactions, receivables, payables, reconciliations, and financial records.
The candidate will be responsible for maintaining accurate books of accounts and ensuring that all sales, purchases, expenses, receipts, payments, GST, TDS, and banking transactions are properly recorded and reconciled.
The Accounts Executive will also coordinate with customers, suppliers, banks, CA/accounting consultants, and internal departments for smooth financial operations.
Key Responsibilities
1. Day-to-Day Accounting
- Maintain books of accounts in Tally / ERP / accounting software.
- Record purchase invoices, sales invoices, expenses, receipts, and payments.
- Prepare and maintain journal, payment, receipt, contra, debit note, and credit note entries.
- Maintain proper ledger accounts.
- Verify supporting documents before accounting entries.
- Maintain proper filing and documentation of financial transactions.
- Ensure accounts are updated on a daily basis.
2. Accounts Receivable
- Maintain customer outstanding statements.
- Track invoice-wise receivables and due dates.
- Follow up with customers for outstanding payments.
- Coordinate with the sales team regarding overdue payments.
- Send customer statements and payment reminders.
- Account for customer receipts and advances.
- Reconcile customer ledgers.
- Prepare weekly ageing reports for management.
- Highlight delayed and high‑risk receivables.
3. Accounts Payable
- Verify supplier invoices against purchase orders and supporting documents.
- Enter purchase invoices into the accounting system.
- Maintain supplier outstanding statements.
- Prepare supplier payment schedules.
- Coordinate payment approvals with management.
- Reconcile supplier ledgers.
- Account for advances paid to suppliers.
- Track debit notes, credit notes, and purchase returns.
4. GST & Tax Compliance
- Maintain GST‑compliant purchase and sales records.
- Verify GSTIN, HSN/SAC codes, tax rates, and invoice details.
- Assist in preparation of GST returns.
- Reconcile purchase records with GSTR‑2B.
- Identify missing or mismatched input tax credit.
- Coordinate with suppliers for GST discrepancies.
- Maintain records required for GST audits and assessments.
- Assist CA/consultant in GST return filing and compliance.
5. Banking & Reconciliation
- Record all bank transactions.
- Perform regular bank reconciliation.
- Monitor incoming customer payments.
- Prepare payment details for suppliers and other expenses.
- Maintain records of NEFT/RTGS/IMPS/cheque transactions.
- Track bank charges, interest, and other banking expenses.
- Coordinate with banks when required.
6. Sales & Purchase Documentation
- Prepare and verify tax invoices.
- Maintain sales and purchase registers.
- Prepare debit notes and credit notes.
- Maintain customer and supplier master data.
- Coordinate with sales, procurement, dispatch, and logistics teams for documentation.
- Assist in preparation of e‑invoices and e‑way bills wherever applicable.
7. Expense & Cash Management
- Verify employee expense claims.
- Maintain petty cash records.
- Account for employee advances and settlements.
- Monitor office and administrative expenses.
- Ensure expenses have appropriate bills and approvals.
- Prepare periodic expense reports.
8. Monthly Closing & MIS
Assist management with monthly accounts closing and preparation of:
- Sales reports
- Purchase reports
- Customer outstanding reports
- Supplier outstanding reports
- Receivable ageing
- Payable ageing
- Cash and bank position
- GST summary
- TDS summary
- Expense reports
- Monthly profitability information
Ensure all ledgers are reconciled before monthly closing.
9. Audit & Statutory Coordination
- Maintain accounting records required for statutory audit.
- Provide documents and ledger details to CA/auditors.
- Assist in GST, TDS, income‑tax, and statutory compliance.
- Maintain proper records of invoices, vouchers, bank statements, and supporting documents.
- Respond to accounting queries raised by auditors or consultants.
Qualification
Preferred
B.Com / M.Com / BBA Finance / MBA Finance or equivalent qualification.
Candidates with relevant accounting experience and strong practical knowledge may also be considered.
Experience
Preferred
2–5 years in accounts and finance.
Experience in a trading, manufacturing, engineering, industrial distribution, or project-based company will be preferred.
Required Skills
The candidate should have:
- Strong knowledge of Tally Prime
- Good knowledge of MS Excel
- Understanding of GST and TDS
- Knowledge of accounts receivable and payable
- Bank reconciliation experience
- Basic understanding of Profit & Loss and Balance Sheet
- Good documentation and filing discipline
- Strong numerical accuracy
- Ability to independently follow up with customers and suppliers
- Good communication and coordination skills
- Ability to work with deadlines

Ideal Candidate
We are looking for a candidate who is systematic, disciplined, accurate, and proactive.
The Accounts Executive should not simply enter vouchers into Tally. The person should actively monitor customer collections, supplier payments, GST/TDS compliance, bank balances, outstanding amounts, and accounting discrepancies and bring important financial issues to management's attention.
The objective of this position is to ensure that management always has accurate and up-to-date information about the company's accounts, cash position, receivables, payables, and statutory obligations.
