Overview

Unijobs DAC are currently recruiting for an Administrator for the Dairy Processing Technology Centre (DPTC) in the Faculty of Science & Engineering at the University of Limerick. The position is temporary, full time, working 35 hours per week. The rate of pay starts at €18.59 per hour. The position is initially anticipated to be until the 23rd of December 2025.

Job Description

The Administrator at the Dairy Processing Technology Centre (DPTC) plays a pivotal role in ensuring the smooth operation of internal and external activities. This position involves comprehensive administrative support, including minute-taking, meeting coordination, document preparation, and database management. The role requires proficiency in tools such as SharePoint and Excel, and the ability to manage records, bookings, and communications efficiently. Key responsibilities include supporting the Centre Director and Operations Management Team. The duties will include maintaining accurate records and databases, organising events, and serving as a first point of contact for customer queries. The officer also assists in providing administrative support to the where required. This role demands strong organisational skills, attention to detail, and the ability to handle multiple tasks in a dynamic environment.

Key Accountabilities
  • Provide support to various meetings and be responsible for the general organisation, minute taking and provision of general administrative support at DPTC.
  • Development and maintain spreadsheets/databases/sharepoint.
  • Support in the organisation of internal and external activities and events, collating and recording defined information documents.
  • When based in the office, provides a comprehensive first point of contact service to customers, effectively answering a wide range of queries via a variety of communication mechanisms.
  • Create, maintain and file records for the Operations Management Team - in particular using of Sharepoint.
  • Make routine arrangements and bookings, according to clearly defined instructions, and be involved in the preparation of materials to assist in the effective organisation of external and internal activities.
  • Organise information according to procedures by filing, checking/matching data, etc. to ensure accurate records are maintained on a day-to-day basis.
  • Follow set ordering procedures to ensure adequate supplies/resources are available to meet OMT requirements.
  • Provision of organisational support such as making standard travel arrangements, arranging meetings, including accommodation and catering.
  • Preparation and distribution of documents including Agenda, Minutes and Attendance sheets.
  • To help and support new and existing Associate Members of DPTC, assisting the DPTC Technical Lead and Business Development Officer.
  • To provide administrative support to the Emerging Contaminant Forum.
  • Any other duties that are directed by the Centre Director
Essential Skills
  • Leaving Certificate or equivalent.
  • A minimum of three years' experience in a similar role.
  • Proficient at all Microsoft packages, in particular Word, Excel and Powerpoint.
  • Knowledge of collaborative platforms e.g. MS Teams.
  • Ability to handle confidential and sensitive information.
Desirable Skills
  • A minimum of one years' proven project management in either a university or industry setting.
  • Knowledge of the use of UL Systems - Agresso and Sharepoint.
  • Understanding of working in a research context.
  • Experience of organising and planning large events.
  • Proven ability to work effectively in a large organisation.
