Job summary

Leinster Appointments is seeking a Travel Coordinator for a permanent, full-time, office-based role in Ballymount, Dublin 22. You will organise travel, accommodation, rental cars and transfers for employees and executives, ensuring timely, compliant bookings across Ireland and Europe.

Responsibilities include managing the travel inbox, coordinating with head office and on-site offices, and supporting travel operations while maintaining detailed records and accurate reporting.

Qualifications

  • Previous experience in travel industry - Leisure or Corporate (high volumes).
  • Experience managing travel across multiple locations is highly advantageous.
  • Self motivated, organised individual with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication skills (verbal & written) with the ability to engage with international suppliers, employees, and internal teams.
  • High attention to detail with strong administrative skills, including proficient in Microsoft Office, particularly Excel and Outlook.
  • Ability to work independently while contributing to a wider operations/travel team.
  • Awareness about international travel regulations.

  • Organise travel, hotel accommodation, rental cars and transfers for employees and executives according to project schedules.
  • Manage the primary travel email inbox, prioritise messages, and forward to the appropriate team members.
  • Ensure clear communication between head office and approvers/on-site offices.
  • Collaborate with the Finance Team to verify travel expenses and agreements.
  • Oversee and support travel operations in Ireland and across European project sites.
  • Handle invoices, payment approvals, contracts, documentation, and forms.
  • Monitor and ensure compliance with all travel requests.
  • Liaise with travel agencies to guarantee high service standards and address issues.
  • Maintain accurate records of all travel-related bookings.
  • Prepare high-quality reports as required.
  • Provide regular updates on travel-related matters to the Travel Coordinator Lead and Finance Director.
  • Assist other areas of the Travel Department as required.

Job description

Leinster Appointments is currently recruiting for a permanent, full time Travel Coordinator role in Ballymount, Dublin 22.

This is a permanent, full time role.

Fully office based

Key Responsibilities

  • Responsible for organising travel, hotel accommodation, rental cars and transfers requests of employees and executives in a timely manner according to project schedules
  • Manage the primary travel email inbox by monitoring incoming messages and prioritising emails, and promptly forwarding them to the appropriate team members or departments as needed
  • Ensure clear and timely communication between head office and approvers/on-site offices
  • Collaborate closely with the Finance Team to share and verify the latest data related to travel expenses and agreements
  • Oversee and support travel operations in Ireland and across European project sites
  • Handle administrative duties including invoices, payment approval, contract setup, documentation, and forms
  • Monitor and ensure compliance with all travel requests
  • Liaise with travel agency to guarantee high service standards and address any issues or complaints that arise
  • Maintain accurate records of all travel-related bookings
  • Prepare high quality reports as required
  • Provide regular updates on travel-related matters to the Travel Coordinator Lead and Finance Director
