Job summary

Next Generation Recruitment is seeking a Supply Chain Specialist for a client site in Ireland. The role focuses on transactional supply chain activities across multiple customers and suppliers to meet forecasted volumes.

The successful candidate will manage ERP-based orders, invoicing support, carrier relationships, and timely reporting within a compliant framework. A minimum of 3 years in a similar transactional role is preferred.

Qualifications

  • Minimum of 3 years' experience in an administrative, operations or similar transactional role.
  • Exceptional attention to detail and accuracy.
  • Confident managing multiple tasks and deadlines in a busy environment.
  • Experience working with an ERP system, performing inventory and sales order processing transactions. Experience with SAP and Oracle-PeopleSoft is an advantage.
  • Well-organised administrative skills, capable of managing competing priorities.
  • Good numeric skills and excellent attention to detail.
  • Analytical and problem-solving skills.
  • Ability to deal with customers and suppliers in a professional manner.

Responsibilities

  • Interface with internal and third-party distributors, as well as internal and external suppliers, to resolve day-to-day supply chain transactional issues.
  • Execute the ERP-based purchase and sales order processes from order receipt to shipments and payments, meeting customer requirements.
  • Support accurate and timely customer invoicing and coordinate with Accounts Receivable on open issues.
  • Manage relationships with carriers and customs to ensure timely and continuous supply.
  • Track shipping activity for lead-time adherence and expedites as needed.
  • Communicate supply chain and logistics issues and delays promptly.
  • Maintain SKU-level records including delivery status and order status.
  • Contribute to data archiving and periodic supply chain reporting.
  • Establish strong working relationships across manufacturing, supply chain, finance and QA.
  • Comply with SOPs, legislation and company policies including SOX and QMS.
  • Perform other duties as assigned.

Main Purpose

The Supply Chain Specialist is responsible for supply chain transactional activities for a portfolio of internal and third-party customers and internal and external suppliers, in order to meet volume forecast targets.

Key Responsibilities

The Supply Chain Specialist will assist the Supply Chain team in the day-to-day operations for product supply and issue resolution. Responsibilities include but are not limited to:

  • Interface with internal and third-party distributors, as well as internal and external suppliers, to resolve day-to-day supply chain transactional issues.
  • Execute the ERP-based purchase and sales order processes (internal and external customers) from receiving incoming orders and placing purchase orders through to confirming and tracking shipments, delivery and payment, in order to meet customer requirements.
  • Support accurate and timely customer invoicing, and work closely with Corporate Finance Accounts Receivable on open issues.
  • Manage the relationship with carriers and customs to assure timely and continuous supply.
  • Track shipping activity for adherence to agreed lead-times and schedules, and work with the relevant internal and external parties to expedite activity as needed.
  • Communicate supply chain and logistics issues and delays promptly.
  • Maintain accurate, up-to-date records for the assigned product portfolio at SKU level, including delivery status, order status and all relevant transactional information.
  • Contribute to a robust and efficient supply chain data archiving system.
  • Establish and maintain strong working relationships with internal and external contacts across manufacturing, supply chain, finance and QA.
  • Maintain records and prepare reports on customer and supplier performance against timing, quantity and planning horizons.
  • Contribute to periodic (daily, monthly) supply chain reports to support monitoring of operational supply chain activity.
  • Comply with internal SOPs, relevant legislation and company policies, including but not limited to SOX and the Quality Management System.
  • Perform other duties and responsibilities as may be assigned.

Person Specification
