Job summary

Protea Recruitment Ltd is seeking a Supply Chain Co-Ordinator to support the Operations Manager and the wider team. The role interfaces with Planning, Finance, Sales & Marketing, Administration, IT and Quality Control to keep logistics running smoothly.

You will handle daily order processing, coordinate domestic and export loads, and focus on cost-effective distribution across Ireland and GB with a strong emphasis on accuracy and teamwork.

Qualifications

  • Analytical ability is advantageous.
  • Proficient IT skills with Microsoft Office, especially Excel.
  • Strong communication and interpersonal skills across departments and partners.
  • Excellent planning and organizational abilities in a fast-paced environment.
  • Proven problem-solving and attention to detail.
  • Third-level qualification is advantageous but not essential.
  • Minimum 3 years in a similar supply chain, logistics, or operations support role.

Responsibilities

  • Input sales orders into internal systems daily (EDI) and ensure accuracy.
  • Review and input customer orders serviced from third-party logistics.
  • Coordinate collection times for domestic and export loads.
  • Load optimization to reduce distribution costs.
  • Manage stock movements across Ireland and Great Britain.
  • Liaise with customer distribution centers across Ireland and GB.
  • Oversee inbound/outbound logistics with Dispatch team.
  • Complete ASN for customers and 3PLs.
  • Arrange daily intake times with raw material suppliers.
  • Manage returnable packaging stock with Irish and European suppliers.
  • Daily stock movements between sites and 3PL locations.
  • Complete customs declarations and export health certificates for GB loads.
  • Liaise with Department of Agriculture for EHC sign-off.
  • Attend daily planning and logistics meetings.
  • Coordinate inbound/outbound logistics with dispatch team to ensure timely shipments.
  • Answer customer queries and follow up to resolve issues.
  • Run daily reports, reconcile and share with relevant departments.
  • Address and resolve shipment and inventory issues.

Job description

The Supply Chain Co-Ordinator will report directly to the Operations Manager and join an expanding and motivated team. The Supply Chain Co-Ordinator will play a central role in the operations department and will also interact with other departments in the company, including Planning, Finance, Sales & Marketing, Administration, IT, and Quality Control.

Main Duties:
  • Sales order inputting onto internal software systems daily (majority of orders received via EDI).
  • Ensuring all order information is accurate and correctly processed.
  • Reviewing, confirming, and inputting all customer orders serviced from third-party logistics locations.
  • Co-ordinating collection times for both domestic and export loads.
  • Load optimization to deliver optimum unit cost of distribution for the business.
  • Managing stock movements in third-party locations across Ireland and Great Britain.
  • Liaising with customer distribution centers across Ireland and Great Britain.
  • Day-to-day management of haulage and distribution partners.
  • Completing Advance Shipping Notices (ASN) for customers and third-party logistics locations.
  • Arranging daily product intake times with raw material suppliers across multiple sites.
  • Managing returnable packaging stock and movements with Irish and European supplier bases.
  • Managing daily stock movements between sites and third-party stock locations to ensure optimum distribution costs.
  • Completing customs declarations, Traces Export Health Certificates, and IPAFFS declarations for each load going to Great Britain.
  • Liaising with the Department of Agriculture to ensure Export Health Certificates are correct and signed off in a timely manner.
  • Attending and presenting at daily internal planning and logistics meetings.
  • Co-ordinating inbound and outbound logistics, working closely with the dispatch team to ensure shipping is completed in a timely and efficient manner, including movement of trucks between sites.
  • Answering customer queries and following up to ensure matters are resolved efficiently.
  • Running daily reports, reconciling, summarizing, and sharing with relevant departments.
  • Addressing and resolving shipment and inventory issues.
Requirements:
  • Previous industry experience with strong analytical ability would be advantageous.
  • Strong IT proficiency, with excellent working knowledge of Microsoft Office, particularly Excel.
  • Excellent communication and interpersonal skills, with the ability to build effective working relationships across departments and with external partners.
  • Strong planning and organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Proven problem-solving ability and strong attention to detail.
  • Third-level qualification is advantageous but not essential.
  • Minimum of 3 years’ experience in a similar supply chain, logistics, or operations support role.
