Job summary

Recordati S.p.A. is seeking an Associate-level Supply Chain professional to coordinate the shipment of drug products and APIs from internal and external sites to international customers and affiliates.

Hybrid work from Cork with on-site requirements, ensuring end-to-end import/export processes and accurate shipping documentation. You will liaise with suppliers, 3PLs, customs brokers, and carriers, supporting procurement activities and contributing to distribution initiatives to drive efficiency

Qualifications

• Bachelor’s or higher in Supply Chain, Logistics, Business, or related field.
• 2–5 years in supply chain or logistics, preferably pharma or regulated industries.
• Experience coordinating international suppliers, customers, and partners.
• Familiarity with Irish/EU customs, import/export compliance, and GDP/GMP desirable.

Job Purpose

The role is responsible for coordinating and executing the shipment of drug products and active pharmaceutical ingredients (APIs) from both internal and external manufacturing sites to international customers and company affiliates. It oversees end-to-end import/export operations, ensuring efficient logistics flow from origin to final destination, including the preparation of all required shipping documentation. The position also supports procurement activities by liaising with suppliers, third‑party logistics providers (3PLs), customs brokers, and carriers to schedule inbound and outbound deliveries. In addition, the role contributes to the development and implementation of new distribution initiatives, working closely with the Supply Chain Team Lead to enhance operational efficiency and support business growth.

Key Responsibilities

• Monitor and coordinate order fulfilment across suppliers, internal teams, and logistics partners, ensuring timely delivery and prioritisation of urgent shipments.
• Liaise with other functions (Sales, Production, Quality, Regulatory, Finance) to solve problems in a professional and timely manner.
• Prepare import/export documents for international shipments, ensuring that all the information is complete and correct.
• Manage logistics‑related escalations, including claims where applicable.
• Review transport costs and support evaluation of logistics providers and cost‑optimisation initiatives.
• Record and manage logistics complaints, ensuring appropriate investigation and implementation of corrective actions.
• Collaborate with the Responsible Person to ensure customer, supplier, and carrier compliance with Good Distribution Practice.
• Assist Finance with the creation of credit/debit notes in relation to price adjustments.

Required Education

• A relevant third‑level qualification in Supply Chain, Logistics, Business, or related discipline, or equivalent practical experience.
• Typically 2–5 years’ experience in a supply chain or logistics role, ideally within the pharmaceutical, life sciences, or regulated industry.
• Experience working with international suppliers, customers, and logistics partners.
• Familiarity with Irish/EU customs regulations, import/export compliance requirements, and documentation standards.
• Understanding of quality and compliance requirements within regulated environments (GDP/GMP desirable).
• Strong organisational and time‑management skills, with the ability to manage multiple priorities effectively.
• Excellent communication and interpersonal skills, with the ability to work cross‑functionally and with external partners.
• Problem‑solving mindset with a proactive and solution‑oriented approach.
• High level of accuracy, accountability, and attention to detail.

Required Skills and Experience

• Strong knowledge of international logistics, including import/export processes, customs compliance, and Incoterms.
• Experience in coordinating global shipments of pharmaceutical products (e.g., APIs and finished goods), including temperature‑controlled logistics where applicable.
• Working knowledge of GDP (Good Distribution Practice) requirements and relevant regulatory standards (e.g., HPRA, EU guidelines).
• Proficiency in supply chain and ERP systems (e.g., SAP) and shipping/documentation platforms.
• Ability to accurately prepare and manage shipping documentation (e.g., commercial invoices, packing lists, certificates of origin, export declarations).
• Strong understanding of freight modes (air, sea, road) and carrier/3PL management.
• Competence in inventory coordination, order management, and procurement support processes.
• Advanced Microsoft Office skills, particularly Excel (data analysis, reporting, and tracking logistics flows).
• Ability to identify and resolve logistics issues proactively while maintaining service levels.
• Ability to ensure data accuracy across multiple systems.
