Job Title: Service and Maintenance Administrator, EPS
Reporting to: Service Manager
Location: Naas, Co. Kildare
This is a permanent, full-time role.
Responsibilities
- To provide day-to-day administrative support to the Service and Maintenance department
- To assist in coordinating service jobs, repairs, and engineer schedules
- Manage incoming service requests and ensure timely logging and allocation
- Liaise with customers, suppliers, and internal teams to ensure smooth workflow
- Prepare job sheets, service reports, purchase orders, and related documentation
- Prepare, process, and issue invoices for service jobs, repairs, and callouts
- Ensure all billable works are captured accurately and invoiced promptly
- Review engineer reports, job sheets, and purchase orders to verify chargeable items
- Liaise with customers regarding invoice queries, PO numbers, and supporting documentation
- Work closely with the finance team to support credit control and resolve discrepancies
- Liaise with suppliers to ensure the prompt delivery of parts.
- Maintaining the service contracts and service management / scheduling systems.
- Maintain accurate records, databases, and tracking systems
- Support compliance, health & safety, and quality documentation processes
- Contribute to continuous improvement initiatives within the department
- Carry out other relevant administration tasks as required from time to time by the business.
- As you are part of a Service and Maintenance team you are required to support other areas of the department when the need arises i.e. when colleagues are on leave or absent from work.
Main Requirements / profile
- Preference will be given to those with experience in Accounts / Bookkeeping and or ERP software (SAP or IFS). ERP software training would be considered for the right candidate.
- Previous experience working with service agreements or maintenance contracts is desirable but not essential. Candidates should have the ability to understand service documentation and provide high-level administrative support for service contract administration and customer queries.
- Proficient in MS Word, Excel, and Teams.
- You will have excellent organisational abilities, communication skills and strong time management skills. You will be flexible and willing to work to tight deadlines when required. You will have a keen eye for detail, ensuring accuracy in all areas of your work.
