Job summary

Positive Futures in Dundalk is seeking a part-time Service Administrator to keep the administrative side of two services running smoothly. You'll support the Service Manager with record keeping, reporting, and producing documents in the house style, while using IT and communications systems to ensure information flows where needed.

The role covers varied tasks from organising work phones and transport, to basic IT support, and may include personal finances, rotas, and health and safety checks,

Qualifications

  • A minimum of 1 year experience in an Office Administrator, Clerical or Secretarial role.
  • Experience and working knowledge of Microsoft Office, to include Excel, Word, PowerPoint and Outlook.

Responsibilities

  • Keep records and produce reports in line with policy and house style.
  • Produce documents in Positive Futures' house style and use IT/communication systems to maintain information flow.
  • Assist with basic IT tasks like resetting and issuing work phones and organise transport of equipment.

Part Time - 35 Hours Our Salaries are advertised based on the full time equivalent, 39 Hours per week FTE, for all part time roles the salary will be subject to pro rata basis You'll provide support to two unique services in the Dundalk area. No two days look the same here, and that's exactly the point. Positive Futures supports people with a learning disability, acquired brain injury or autism to build the skills and confidence for a good life in their community. As Service Administrator, you're not delivering that support directly, but you're the person keeping the wheels turning so the people who do can get on with it. One minute you're sorting a work phone for a new starter, the next you're pulling together induction paperwork, checking in on a maintenance job, or helping make sure a service is running exactly as it should be. It's varied, hands-on, and genuinely useful work, the kind where good organisation quietly makes everyone else's day easier. Genuine variety: IT support, recruitment admin, finance and maintenance oversight, this role touches nearly every part of how a service runs, so you're never doing the same thing twice in a row. Real responsibility: depending on your service, you could be managing personal finances for the people we support, coordinating staff rotas, or carrying out health and safety checks, proper trust from day one. Built-in support to grow: a full induction, relevant training, and regular 1:1s with your manager, plus the chance to work toward accredited training as your career develops.

About The Role

Get the details right, and everyone else is free to focus on the people they support. You'll work closely with your Service Manager, keeping the administrative side of the service running smoothly and in line with our policies and regulatory requirements. That covers everything from record keeping and report writing to producing documents in Positive Futures' house style, and using our IT and communication systems to keep information flowing where it needs to. You'll also help with basic IT tasks like resetting and issuing work phones and organising the transport of equipment, full training and support is provided, so no tech background is needed. Depending on how your service is set up, you may take on further responsibilities as designated: managing and recording personal finances for the people we support, coordinating staff rotas to make sure cover is in place, carrying out health and safety checks, or helping oversee maintenance work against our service level agreements. You'll also contribute to reviewing service objectives and action plans, and help encourage the people we support to be involved in how their service is run day to day.

Required Criteria

A minimum of 1 year experience in an Office Administrator, Clerical or Secretarial role Experience and working knowledge of Microsoft Office, to include Excel, Microsoft Word, PowerPoint and Outlook Skills Needed

Salary €29,638.00 - €29,638.00 per year
