Recruitment Specialist

Role Overview
The Recruitment Specialist within the Cpl Healthcare Talent Solutions team provides essential operational and administrative support across healthcare recruitment projects, helping to deliver exceptional talent solutions for our clients.
Working closely with Talent Coordinators, Talent Specialists, Project Leads, and client stakeholders, the Talent Specialist supports candidate management, compliance activities, onboarding processes, and recruitment operations. This role is ideal for someone highly organised, detail-oriented, and interested in recruitment, talent acquisition, project coordination, or healthcare workforce solutions.
Key Responsibilities
Candidate Administration & Support
- Review candidate applications and maintain accurate candidate records within CRM and recruitment systems.
- Conduct initial pre-screening activities, including eligibility and documentation checks.
- Coordinate candidate interviews, assessments, onboarding activities, and compliance appointments.
- Provide a professional and responsive experience for candidates throughout the recruitment process.
- Respond to candidate queries via email and phone, ensuring timely communication and support.
Compliance Coordination
- Collect, track, and maintain candidate documentation, including references, identification, qualifications, certifications, and regulatory requirements.
- Update candidate compliance status within CRM systems, ensuring records remain accurate and audit-ready.
- Follow up with candidates regarding outstanding documentation and compliance requirements.
- Prepare candidate files for review by Talent Specialists and compliance teams.
- Support adherence to GDPR and internal quality standards.
Onboarding Support
- Prepare onboarding documentation, contracts, and candidate packs for review and approval.
- Assist with Garda Vetting, overseas police clearances, occupational health requirements, and other pre-employment checks.
- Coordinate candidate onboarding activities and ensure a smooth transition into placement.
- Support communication between candidates, clients, and internal teams throughout the onboarding process.
Project & Team Support
- Maintain shared trackers, reports, and project documentation.
- Generate routine reports relating to candidate pipelines, compliance status, and project activity.
- Provide administrative support to Talent Specialists, Project Leads, and Managers across healthcare recruitment projects.
- Monitor workflow progress and proactively elevate risks, delays, or issues.
- Contribute to continuous improvement initiatives that enhance candidate experience and operational efficiency.

- Strong Microsoft Office skills, particularly Outlook, Word, and Excel.
Desirable
- Previous experience in recruitment, talent acquisition, HR administration, customer service, or project administration.
- Experience using CRM, ATS, or workforce management systems, such as Salesforce.
- Experience of public service recruitment is desirable.
- Knowledge of compliance or onboarding processes.
- Experience working within healthcare, recruitment, or professional services environments.
