Job description

Indra is seeking a General Operative & Office Administrator to support the Next Generation Ticketing (NGT) Managed Service. This junior, practical role combines day-to-day warehouse operations, equipment logistics, reception and office administration, basic workplace IT assistance, purchasing coordination and domestic/international travel bookings. The role reports directly to the Field Operations Manager, who sets overall priorities and deploys the resource across operational requirements.

This position would particularly suit someone early in their career with basic IT knowledge or experience, an interest in technology and engineering, and a practical, hands‑on approach. The role works closely with the Field Service Coordinator, Field Engineers, Laboratory Technicians and wider Operations team, offering supervised technical exposure and a potential development pathway into Field Service Engineering or Laboratory & Field Support.

Warehouse & General Operations
  • Support goods receipt, inspection, safe storage, picking, packing, staging and dispatch of devices, tools, spares and consumables.
  • Assist with stock counts, inventory reconciliation, labelling, equipment segregation, returns and warehouse housekeeping.
  • Record device serial numbers, physical locations, custody, stock movements and status accurately in Maximo or applicable systems.
  • Prepare equipment and materials for field work and support the Laboratory and Field teams with approved non-specialist tasks.
PMV Collections, Deliveries & Field Logistics
  • Collect and deliver Pole Mounted Validators (PMVs) between the warehouse and agreed Transport Operator depots or locations.
  • Deliver and collect spare parts, replacement devices, tools and materials for Field Engineers when required.
  • Securely package and transport equipment, complete handover records and maintain full chain of custody, including serial numbers and receiving parties.
  • Coordinate delivery schedules, urgent requests, returns and equipment movements with the Field Service Coordinator; elevate shortages or discrepancies.
Front Desk, Office & Facilities
  • Provide reception and front-desk support at Indra Dublin HQ / warehouse, welcoming and registering visitors, suppliers, contractors and delivery personnel.
  • Administer the issuing, return, replacement and tracking of building access cards and visitor badges, maintaining accurate records and following approved access authorisations and security procedures.
  • Receive incoming post, parcels, courier shipments and general deliveries; log, sort, notify recipients and distribute items promptly to the correct teams and locations throughout the building. Arrange outgoing post and couriers, meeting rooms, office supplies and routine facilities support.
  • Coordinate delivery receipt and sign-off, identify missing or damaged items and elevate as required. Ensure suitable front-desk and deliveries cover is arranged while undertaking external PMV collections or other duties.
Basic Desk-side IT & Meeting Room Support
  • Assist users with approved first-line desk-side activities, including monitor, docking station, peripheral and workstation setup.
  • Prepare meeting-room audiovisual and video-conferencing equipment, displays, cameras, microphones and connections.
  • Carry out basic checks using approved procedures and log/escalate unresolved matters to Indra support.
  • Record office IT equipment movements; do not undertake privileged ICT administration or security changes.
Procurement & Purchasing Coordination
  • Work closely with Indra's internal Procurement team on purchasing requirements for the warehouse, Dublin office and Field Operations.
  • Follow Indra procurement policies, systems, supplier engagement rules, delegated authority and established approval workflows at all times.
  • Coordinate purchase requisitions, supporting documents and quotations where authorised; assist with tools, spare parts, consumables, office materials and approved equipment needs.
  • Track purchase orders, deliveries and outstanding requests; verify goods received and liaison with Procurement and Finance to resolve discrepancies.
  • Maintain procurement trackers and records, elevate delays and never make purchasing commitments outside approved processes.
Travel & Accommodation Coordination
  • Coordinate domestic and international travel bookings for Operations team members, including flights, rail, accommodation, car hire and ground transport.
  • Work with approved travel providers and Indra's internal travel/approval processes to arrange, amend or cancel bookings.
  • Maintain itineraries, confirmations, travel schedules and relevant supporting documentation, including urgent short-notice requests.
  • Assist with travel administration and expense-related queries while observing company policy, approval limits and data confidentiality.
Field Operations Development Pathway
  • Learn NGT equipment types, warehouse-to-field workflows, fault reporting, work orders, stock traceability and basic device checks.
  • Shadow Field Engineers and Laboratory Technicians, supporting equipment preparation, inspection, testing and supervised technical activities.
  • Only undertake maintenance, installation, replacement or technical interventions after the necessary training, safety induction, competency assessment and authorisation.
  • Develop toward Field Service Engineer, Laboratory & Field Support Technician or specialist operational support opportunities, subject to competence and business needs.
Safety, Security & Working Arrangements
  • Follow warehouse, manual handling, vehicle, site access, information security and equipment chain-of-custody requirements.
  • Use appropriate PPE, report hazards or incidents promptly and comply with Transport Operator rules when visiting operational sites.
  • Primarily warehouse/office based, with regular travel across the Greater Dublin Area and flexibility for occasional planned out-of-hours or weekend activity where agreed.
Requirements
Essential Requirements
  • Leaving Certificate or equivalent, together with a QQI Level 5 or Level 6 qualification in IT, Computer Systems, Business Administration, Logistics, Engineering or a related discipline, or equivalent relevant work experience.
  • Minimum 1-2 years' relevant experience in an office administration, IT support, warehouse operations, logistics or operational support environment.
  • Good working knowledge of Microsoft 365, particularly Outlook, Excel, Word and Teams.
  • Practical experience supporting workplace IT equipment, including laptops, monitors, peripherals and basic troubleshooting.
  • Experience handling deliveries, stock, equipment movements or general operational logistics.
  • Experience coordinating administrative activities, maintaining accurate records and dealing with internal stakeholders or suppliers.
  • Strong organisational, communication and customer-service skills.
  • Full, clean driving licence valid in Ireland.
  • Practical, hands‑on approach with the ability to work independently, prioritise competing tasks and take ownership of assigned activities.
Desirable Requirements
  • Experience coordinating purchase requisitions, supplier orders or procurement activities.
  • Experience arranging domestic or international business travel.
  • Familiarity with inventory, asset-management or purchasing systems.
  • Experience managing reception, visitor registration, access badges or office facilities.
  • Experience supporting meeting-room audiovisual and video-conferencing equipment.
  • Technical interest or experience in electronics, engineering, equipment maintenance or field services.
  • Manual Handling or other relevant workplace safety certification.
Development Opportunity
  • This position is suited to an individual in the early stages of their career who already possesses practical workplace experience and a foundation in IT or operational support.
