This is a broad, hands-on generalist role at the centre of the business, combining people management, systems ownership, and direct support to leadership. The role does not require expertise in every tool or process from day one; it is built on resourcefulness, strong organisational skills, and the ability to learn new systems and processes independently. What matters most is the ability to pick things up quickly, manage multiple priorities simultaneously, and exercise sound judgement on when to act independently versus when to escape. The role works closely with the finance team and the wider leadership team.
Lead and support the Finance team, setting priorities, managing workloads and supporting performance and development.
Coordinate a monthly finance reporting cycle with the Finance team and CEO, ensuring reports and forecasts are prepared and reviewed on time.
Build a working understanding of the company's financial performance to highlight material variances, emerging cost pressures and risks to forecast assumptions.
Work with Finance and department leads to follow up on findings and support informed decisions on budgets, costs and future planning.
Own the company's vendor and payment card relationship for office subscriptions: manage subscription payments, track renewals, and review what's in use versus what can be cut.
Handle onboarding and offboarding admin for employees: system set-up, training, onboarding plans, and monthly check-in calls for new starters' first six months.
Check the shared team mailbox daily and triage into actioned / no action needed / follow-up.
Schedule and manage monthly, quarterly and annual leadership meetings using Metronome: agendas, room booking, catering, and chasing leadership for inputs.
Check that quarterly priorities and metrics are populated correctly across the team, and follow up with anyone who's missing them.
Own longer-running, cross-functional projects that don't sit neatly in one team, for example office projects, communication projects etc.
Own the process for internal SOP's, which includes tracking, creating, editing, and supporting other departments with their SOP's.
Keep documentation, processes and versioning current as systems and ways of working evolve.
Own or co-own a wide range of internal tools and subscriptions (including Metronome, Adobe Sign, Asana, Bitwarden, AWS, and others), from full ownership to prompting other people to act.
Track subscription renewals and liaise with vendors ahead of them; flag what's unused.
Monitor IT tickets and send a monthly IT report based on updates from the IT provider.
Hold SharePoint admin access and support colleagues with day-to-day SharePoint issues.
Main point of contact for office-related vendors (electrical/fire safety, cleaning, and building management/facilities), escalating where needed.
Keep the office running day to day; this role is onsite in Galway 3 days a week.
Plan in-office and offsite events: locations, set-up, invites, food and beverages, timings.
Contribute to the weekly Comms Dashboard and help keep internal communications and team culture activities running.
Supporting departments with locating documents, marketing materials, historical records, or company information.
Responding to leadership requests for research.
Costing of materials, systems and initiatives.
