Morgan McKinley is seeking an Operations Administrator on a temporary basis to support the clients team with daily office functions, vendor management, scheduling, and financial processes. Proven proficiency in Microsoft Office and QuickBooks, payroll support, onboarding, and reporting is expected.

Qualifications

  • 3–5 years of experience in office administration or office management within pharma or engineering sectors.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook).
  • Experience in vendor management, scheduling management and customer service.
  • Supervising or team management experience is a plus.
  • Ability to handle confidential information with discretion and strong communication.

Responsibilities

  • Manage calendar scheduling, meetings, events, and appointments efficiently.
  • Oversee vendor management, including procurement, contracts and relationships.
  • Handle bookkeeping and financial software tasks (e.g., QuickBooks).
  • Assist with payroll processing, HR functions, and onboarding/training.
  • Prepare reports using MS Office and other office software.
  • Maintain confidentiality and professionalism in handling information.
  • Support office operations, front desk, multi-line phones, and client communications.
  • Organize event planning activities and oversee logistics for meetings or events.
  • Supervise administrative staff as needed to ensure efficiency.
  • Manage client communications with professional phone etiquette.
  • Contribute to budgeting processes and monitor office operation expenses.

Job Overview

I am seeking a highly organised and detail-oriented Operations Administrator on a Temporary basis to support our clients team in managing daily office functions and ensuring smooth operational workflows. This role involves overseeing administrative tasks, coordinating vendor relationships, managing schedules, and supporting financial processes. The ideal candidate will possess strong communication skills, technical proficiency, and experience in office management and client relations preferably within the pharma or engineering sectors.. This position offers an opportunity to contribute to a dynamic environment while developing professional skills in administrative and financial management.

Duties
  • Manage calendar scheduling and coordinate meetings, events, and appointments efficiently.
  • Oversee vendor management, including procurement, contracts, and relationship building.
  • Handle bookkeeping, accounting, and financial software tasks such as QuickBooks and other accounting tools.
  • Assist with payroll processing, human resources functions, and employee onboarding/training.
  • Prepare reports using Microsoft Office applications, spreadsheets, and other office software.
  • Maintain confidential information with discretion and professionalism.
  • Support office operations by managing filing systems, front desk duties, multi-line phone systems, and client communication.
  • Organize event planning activities and oversee logistics for company events or meetings.
  • Supervise administrative staff or team members as needed to ensure operational efficiency.
  • Handle client communication with professionalism via phone etiquette and effective communication skills.
  • Contribute to budgeting processes and monitor expenses related to office operations.
Experience
  • Proven experience 3-5 years in office administration or office management roles within pharma or engineering sector.
  • Demonstrated proficiency with Microsoft Office Suite including Word, Excel (spreadsheets), and Outlook.
  • Experience in vendor management, scheduling management, and customer service is highly desirable.
  • Supervising or team management experience is a plus.
  • Excellent organisational skills combined with the ability to handle confidential information responsibly.
  • Strong communication skills-both verbal and written-and professional phone etiquette are essential.
