Job summary

Respond is seeking a Mobilisation Coordinator to plan and deliver mobilisation activities for new housing developments nationwide. You will coordinate information across internal teams and external stakeholders to support a smooth transition of homes into operations.

Working with the Mobilisation Manager, Clerk of Works and Defects Team, you will manage project plans, meetings, inspections and reporting while maintaining documentation.

Qualifications

  • Minimum two years' experience in a project management or coordination role in housing/development.
  • Experience coordinating multiple projects in a fast-paced environment.
  • Excellent organisational, planning and time management skills.
  • Experience preparing management reports, KPI reporting and operational updates.
  • Strong administration and document management skills.
  • Excellent written and verbal communication skills.
  • High level of proficiency in Microsoft Office, particularly Excel, Word, Outlook, Teams and SharePoint.
  • Full clean Category B driving licence with willingness to travel nationally as required.

Responsibilities

  • Coordinate mobilisation programmes from practical completion through to final completion and handover.
  • Support the Mobilisation Manager in planning and coordinating mobilisation of new housing developments nationally.
  • Maintain mobilisation project plans, trackers, action logs and project documentation.
  • Organise and coordinate site inspections, handover meetings, project reviews and stakeholder meetings.
  • Prepare meeting agendas, minutes and action trackers and ensure follow-up of actions.
  • Support the Clerk of Works by coordinating inspections, snagging schedules and reporting.
  • Maintain accurate project documentation including Safety Files, O&M Manuals, Asset Registers and handover information.
  • Produce monthly KPI reports and project dashboards for Senior Management.
  • Monitor mobilisation progress and identify risks requiring escalation.

Role: Mobilisation Coordinator

Location: National (Hybrid)

Reporting to: Mobilisation Manager

Terms: Permanent Full-time (39 hours per week)

Salary: €51,297-€66,385 (Please note that offers are typically made at the beginning to mid-range of the advertised salary, based on skills and experience)

Job Purpose

The Mobilisation Coordinator will project manage the planning, coordination and delivery of mobilisation activities throughout the planning, construction, handover, resident move-in and operational stabilisation phases of Respond developments. The role is responsible for coordinating information, actions and activities across internal teams and external stakeholders to support the successful transition of new homes into operational management.

Working closely with the Mobilisation Manager, two Clerk of Works and the Defects Team (Defects Coordinator and Defects Officer), the post holder will coordinate projects, planning, reporting and communication throughout the mobilisation, stabilisation and defects periods.

The role will ensure projects are delivered in a structured and efficient manner by maintaining project documentation, coordinating meetings and inspections, monitoring project milestones, producing operational reports and supporting the successful completion of approximately 2,000 new homes over the coming years. This is a fast-paced and varied role requiring excellent organisational, planning and communication skills, together with the ability to manage multiple projects simultaneously.

Key Responsibilities
  • Coordinate mobilisation programmes from practical completion through to final completion and operational handover.
  • Support the Mobilisation Manager in planning and coordinating the mobilisation of new housing developments nationally.
  • Maintain mobilisation project plans, trackers, action logs and project documentation.
  • Organise and coordinate site inspections, handover meetings, project reviews and stakeholder meetings.
  • Prepare meeting agendas, minutes and action trackers and ensure follow-up of agreed actions.
  • Support the Clerk of Works by coordinating inspections, snagging schedules, contractor responses and project reporting.
  • Work alongside the Defects Coordinator and Defects Officer in maintaining defects registers, arranging inspections, monitoring contractor performance and coordinating final completion inspections.
  • Maintain accurate project documentation including Safety Files, O&M Manuals, Asset Registers, As-Built Drawings, Compliance Certificates, Fire Safety documentation and handover information.
  • Maintain accurate information across ActiveH, SharePoint, Microsoft Teams, Excel trackers and other business systems.
  • Produce monthly Key Performance Indicator (KPI) reports, operational updates and project dashboards for Senior Management.
  • Monitor mobilisation progress and identify emerging risks, delays and outstanding actions requiring escalation.
  • Assist in preparing reports for Senior Leadership Team, EMT and Board reporting as required.
  • Liaise with developers, contractors, consultants, managing agents and internal departments to ensure projects progress efficiently.
  • Support the continuous improvement of mobilisation procedures, documentation and reporting processes.
  • Undertake any other duties appropriate to the role.
Essential Skills & Experience
  • Minimum two years' experience in a project management, project coordination, or similar housing, asset management or housing development related role.
  • Experience coordinating and supporting multiple projects simultaneously within a fast-paced environment.
  • Excellent organisational, planning and time management skills.
  • Experience preparing management reports, KPI reporting and operational updates.
  • Strong administration and document management skills.
  • Excellent written and verbal communication skills.
  • High level of proficiency in Microsoft Office, particularly Excel, Word, Outlook, Teams and SharePoint.
  • Experience maintaining project records and electronic filing systems.
  • Ability to prioritise workloads and meet competing deadlines.
  • Full clean Category B driving licence with willingness to travel nationally as required.
Desirable
  • Experience within housing, construction, asset management or property management.
  • Knowledge of construction projects, mobilisation or defects management.
  • Experience using ActiveH or similar housing management systems.
  • Experience using Power BI or similar reporting software.
  • Third-level qualification in Business Administration, Construction, Project Management, Property Management or a related discipline.
