Medical Secretary
An exciting opportunity for a Medical Secretary to join an established third-level organisation on a temporary basis until October to December. This role will provide administrative and reception support across a busy Student Health Centre and Counselling service, with a strong focus on confidentiality, customer service, diary management, and day-to-day administration.
Role Responsibilities:
- Provide administrative and reception support within the Student Health Centre and Counselling service.
- Act as the first point of contact for students and staff, responding to enquiries by phone, email, and face-to-face.
- Manage diaries and schedule appointments for Doctors, Nurses, and Counsellors.
- Coordinate student registration for GP and Counselling services.
- Deal appropriately with walk-in enquiries and direct emergencies to the relevant healthcare professional.
- Maintain accurate and confidential records in line with GDPR requirements.
- Support team meetings, including arranging meetings, preparing agendas, and taking minutes.
- Maintain medical and office supplies and assist with ordering where required.
- Use relevant finance and procurement systems to process orders and payments.
- Maintain an organised and welcoming reception area.
- Provide general administrative support to ensure the smooth running of the service.
Role Requirements:
- 3+ years' relevant experience in a healthcare environment, preferably within a GP practice.
- Recognised Medical Secretarial qualification at QQI Level 5 or equivalent.
- Strong administrative and organisational skills with the ability to multitask in a busy environment.
- Excellent communication, interpersonal, and customer service skills.
- Strong discretion and integrity when dealing with confidential information.
- Proficiency in Microsoft Office and Google applications, including Word, Excel, Gmail, and Google Calendar.
- Experience with medical records systems or databases is desirable, particularly Socrates or similar.
- Experience working with medical records and database management.
- Flexible and adaptable approach with the ability to build strong working relationships.
